Job Title: Payroll Administrator

Colgate University is seeking a highly skilled Payroll Administrator to join our Finance and Administration team.

About the Role:
  • Primarily responsible for the effective administration of student and casual employee payroll records.
  • Accurate and timely entry and maintenance of payroll records, including jobs and deductions.
  • Coordinates with Financial Aid work study eligibility and ensures compliance with state and federal requirements.
  • Ensures assigned filing systems are organized, accurate, and up-to-date.
  • Trains staff on processes related to onboarding students and casual employees.
  • Auditing and maintaining HRIS systems that relate to student and casual wage employment.
  • Monitoring hours for compliance with Paid Family Leave (PFL), Affordable Care Act (ACA), and retirement eligibility.
  • Communicates and executes policies, ensuring they are administered fairly and consistently.
  • Establishes equitable rates of pay, complying with minimum wage and University established wage scales.
  • Runs reports and performs audit and compliance functions.
  • Serves as the primary backup for all payroll related functions.
Key Responsibilities:
  • Accurate and timely communications related to assignment of students, entry and maintenance of student payroll related records.
  • Accurate and timely entry and maintenance of casual wage payroll records, including jobs and deduction records.
  • Accurate and timely completion and/or collection of required forms and information from students and casual employees.
  • Ensuring compliance with state and federal requirements.
  • Providing excellent customer service and fostering positive relationships with individuals and departments supported by the HR function.
Requirements:
  • Demonstrated experience in providing excellent customer service.
  • Strong interpersonal and communication skills, both verbal and written.
  • Ability to maintain a high level of confidentiality.
  • Requires initiative and ability to prioritize and meet critical deadlines.
  • Demonstrated mastery of computer skills, including Microsoft Word, Excel, and Google documents.
  • Experience using web-based data systems.
  • Excellent problem-solving and analytical skills, with a high level of accuracy and attention to detail.
Preferred Qualifications:
  • Previous exposure to payroll or recruitment administration.
  • Previous experience working with an HRIS.
  • Previous experience in running and writing queries.
Education:

A minimum of 2 years of administrative experience and an Associate's degree or a combination of education and experience from which comparable skills are attained.
