Job Summary

We are seeking an exceptional Executive Support Specialist to join our team in the Huck Institutes of the Life Sciences. This dynamic role requires a highly organized and detail-oriented individual to provide top-notch administrative support to our Director for Strategic Initiatives and research center directors.

Responsibilities:

  • Mail Management: Ensure seamless mail distribution, sorting, and prioritization for the Director's Office and research centers.
  • Listservation: Manage relevant Listservs and contact lists to maintain efficient communication channels.
  • Administrative Support: Provide critical assistance to research center directors, including tasks such as data entry, report creation, and p-card reconciliation.
  • Travel Arrangements: Serve as the primary travel arranger, coordinating all aspects of travel, itineraries, and meetings.
  • Event Planning: Assist with event planning, including room bookings, agenda creation, and minute-taking for workshops and seminars.
  • Confidentiality: Maintain confidentiality and handle sensitive information with discretion.

Requirements and Qualifications

To be considered for this exciting opportunity, you must have at least 2+ years of experience in executive support or a related field, along with a high school degree or vocational training/degree. Your exceptional organizational skills, attention to detail, and ability to work effectively in a fast-paced environment will make you an ideal candidate for this position.

Salary Information

The estimated salary range for this position is $38,300 - $55,500, which reflects the market rate for similar roles within the region.
