We are seeking an Executive Assistant to the Directorate to provide comprehensive administrative support to the Associate Laboratory Director (ALD) for the Science and Technology Partnerships and Outreach (STPO) Directorate. In this pivotal role, you will:

  • Utilize sound judgment and independent initiative to manage the daily operations and workflow of the ALD's office.
  • Handle a diverse range of administrative and general support tasks, often involving sensitive information.
  • Facilitate effective communication by transferring verbal and written information, and provide logistical support for meetings, conferences, and workshops.

Your responsibilities will encompass coordinating and scheduling meetings, arranging domestic and international travel, preparing expense reports, compiling and formatting presentations, reviewing documentation for ALD approval, tracking expenditures, and planning both onsite and offsite visits, meetings, and workshops. Success in this position will be demonstrated through your ability to collaborate and interact professionally with others, manage multiple tasks, respond to urgent requests, and anticipate the needs of the ALD.


Position Requirements
  • A minimum of a high school diploma with 10 years of experience, or an Associate's degree with 8 years of administrative experience is required.
  • Strong organizational skills, including the ability to prioritize tasks, manage time effectively, and creatively solve problems independently.
  • Proficiency in scheduling appointments, arranging meetings, planning workshops and conferences, and coordinating visits for the ALD.
  • Exceptional attention to detail.
  • Ability to maintain confidentiality at all times.
  • Excellent verbal and written communication skills, with a focus on building interpersonal relationships.
  • Capacity to make independent decisions.
  • Experience in managing input for Laboratory-wide projects.
  • Thorough understanding of word processing, spreadsheet, and database applications, including the MS Office Suite.
