Job Title: Administrative Assistant

Pavement Coatings Co., an employee-owned company and a leader in the Pavement Preservation industry, is seeking an experienced Administrative Assistant to join our team in our Sacramento branch.

Job Summary

The Administrative Assistant is responsible for providing support with the day-to-day administrative functions of the branch by creating and maintaining records, compiling reports, gathering and processing data, scheduling, coordinating, and office functions correlating to the established procedures and policies.

Key Responsibilities
  • Coordinates office activities and operations to secure efficiency and compliance to company policies
  • Manages phone calls and correspondence (email, letters, packages, etc.)
  • Prepares communications, such as memos, emails, invoices, reports, and other correspondence
  • Assists with account collections, vendor setup, coding invoices, and matching of purchase orders
  • Audits, reviews, and enters automated and manual timecards for payroll processing
  • Creates and updates records and databases with personnel, financial, and other data
  • Tracks stock of office supplies and Branch inventory of all material
  • Submits timely reports and prepares presentations/proposals as assigned
Requirements and Qualifications
  • Outstanding communication and interpersonal abilities
  • Understanding of union/non-union and prevailing wage payroll
  • Demonstrates flexibility to effectively deal with changing priorities and timelines through analytical and problem-solving
  • Ability to work both independently and in a collaborative team-oriented environment
  • Knowledge of Microsoft Outlook, Word, Excel, Relations Systems, LCP Tracker, Coins, and eCPR form application
  • Excellent organizational and leadership skills
  • Familiarity with office management procedures and basic accounting principles
Education and Experience
  • A minimum of 3+ years of proven experience as an office administrator, office assistant, or relevant role
  • High School Diploma/GED; Bachelor's Degree in Business Administration or relevant field is preferred
  • High Volume environment
  • Experience with Microsoft software such as Word and Excel
