The Research Operations Coordinator collaborates closely with the Research Director, Research Manager, and the Research Operations Associate within the designated research sector. This role is pivotal in generating reports related to the financial and budgetary oversight of research initiatives and plays a key role in facilitating academic activities within the division. The Coordinator also aids in time and effort documentation, acts as a liaison to both internal departments and external philanthropic and academic entities, and provides comprehensive administrative support for the operational and administrative functions of the research domain.

Key Responsibilities:

  • Oversees the administrative and office management frameworks for the department/unit.
  • Revises policy and procedure manuals, disseminating vital information such as announcements, policies, and procedural guidelines.
  • Maintains an events calendar, monitors critical deadlines, organizes meetings, arranges travel logistics, and processes travel reimbursements.
  • Drafts written communications, NIH reviews, and letters of recommendation.
  • Produces monthly financial and physician billing reports for distribution to departmental leadership.
  • Acts as a liaison between departmental administrators and Sponsored Research and Funds Administration (SRFA).
  • May assist the Principal Investigator in the preparation and submission of federal and non-federal grant applications.
  • May support pre- and post-award grant administration tasks and track project performance metrics.
  • Implements federal and state regulatory and licensing standards, as well as organizational bylaws, rules, and policies for all assigned projects, and aids in the rollout of new regulatory and compliance initiatives.
  • Facilitates the daily operations of the Director and associated faculty members, including project management and strategic planning execution.
  • Assists in the formulation and upkeep of budgets for research initiatives.
  • Monitors HR compliance and regulatory matters for research personnel, including the maintenance of HR documentation, onboarding processes, and coordination of compliance training.
  • Coordinates all academic functions, seminars, lectures, and meetings.
  • May develop course syllabi, create audiovisual materials using PowerPoint and other software, and compile information for presentations.
  • May conduct literature reviews and format manuscripts for submission and publication.
  • Adheres to office management protocols and compliance with Cedars-Sinai administrative regulations and standards.
  • Supports departmental management with additional tasks as required.

Department-Specific Responsibilities:

  • Manages grant submissions and oversight, including drafting and preparing grant reports and financial management.
  • Assists with editing and formatting of abstracts and manuscripts in English.
  • Handles Material Transfer Agreements (MTA), Data Use Agreements (DUA), collaboration agreements, and ensures NIH Biosketch and CV documents are current.
  • Maintains the technical aspects of various websites, including NCBI My Bibliography, Loop, ORCID, LinkedIn/Research Gate, and PMC, and manages invoices and manuscript payments.

Qualifications

Essential Skills and Requirements:

  • High School Diploma/GED is required.
  • Bachelor's degree is preferred.
  • Prior experience in research administration is highly desirable.
  • Proficiency in Word, PowerPoint, and Excel is preferred (knowledge of Photoshop is a plus).
  • Exceptional written and verbal communication skills, with a solid understanding of grants, manuscripts, and abstract guidelines.
  • Strong organizational, personnel, and time-management abilities, along with computer software proficiency (previous experience with EndNote is preferred).
  • Capacity to work independently, prioritize tasks, and manage multiple responsibilities with attention to detail. Previous experience in a research setting is preferred.
