Job Description

Holiday Bright Lights is seeking a highly skilled and detail-oriented Executive Support Specialist to join our team. As a key member of our operations team, you will play a critical role in driving the implementation and growth of our retail programs.

Key Responsibilities:

  • Manage pricing and data entry across multiple internal and client-based systems, ensuring accuracy and efficiency.
  • Coordinate item images and samples, ensuring timely and professional delivery.
  • Schedule and coordinate meetings, appointments, and events, both internally and externally.
  • Assist ownership and the retail sales team with data entry, research, and account setup, ensuring seamless communication and collaboration.
  • Provide exceptional customer service, responding to inquiries and resolving client concerns in a timely and professional manner.
  • Work closely with the Operations Manager to ensure team goals meet current and future business requirements.
  • Develop and maintain a systemized structure to ensure timely completion of tasks and deadlines.
  • Delegate tasks to team members, ensuring effective resource allocation and project management.
  • Perform daily quality control on projects, maintaining high standards of quality and excellence.
  • Adjust schedules and targets as needed, ensuring flexibility and adaptability in a fast-paced environment.
  • Work with factories on quotes and specs for new items and requotes, ensuring accurate and timely delivery.
  • Support Account Managers with large client projects and systems work, providing expertise and guidance as needed.
  • Perform item uploads and maintenance in multiple corporate retail systems, ensuring accuracy and efficiency.
  • Manage product lifecycles, including site catalogs and product details on back-end retailer websites.
  • Execute site updates, ensuring error-free and timely product launches.
  • Ensure item data is accurate, including weights, dimensions, and specifications.
  • Prepare meeting notes, agendas, and program collateral, ensuring timely and professional delivery.
  • Analyze pricing data from industry standards, previous sales trends, and competitors, reporting findings to decision-makers.
  • Assist in the pre-sales process, providing documentation and quotes as needed.
  • Collaborate with HBL Marketing on presentation collateral for client meetings and events.
  • Participate in quarterly planning, defining goals and key objectives for the next quarter.
  • Identify inefficiencies and bottlenecks in existing processes and workflows, developing strategies to improve them.

Requirements:

  • Bachelor's degree in business administration, operations management, or related field; or associate degree in business (or related field) with 4 years of related experience; or 6 years of related experience.
  • Strong analytical and problem-solving abilities, with the ability to make data-driven decisions.
  • Excellent interpersonal, written, and verbal communication skills, with the ability to collaborate effectively with customers, stakeholders, and cross-functional teams.
  • Advanced Excel skills for data analysis and reporting, with proficiency in data analysis software/tools and Microsoft Office Suite.
  • Excellent attention to detail and organizational skills, with the ability to work independently and prioritize tasks.
  • Dedication to providing great customer service, with the ability to work under pressure and meet tight deadlines.
  • Experience with Sage, Sage CRM, CIMCloud, and/or Google 360 Showroom a plus.
  • Experience with managing client/vendor relationships a plus.
  • Ability to work in a fast-paced environment, with flexibility and adaptability.
