Job Summary

We are seeking a highly organized and detail-oriented Meeting Coordinator to support our meetings and events team. The ideal candidate will have a proven track record of planning and executing successful events, excellent communication and customer service skills, and the ability to manage multiple projects simultaneously.

Key Responsibilities
  • Assist in the planning and execution of SNAC International's 8-10 meetings, conferences, and events, including the annual convention, educational programs, networking events, and webinars.
  • Manage event registration processes, including the creation and maintenance of registration websites and databases.
  • Provide on-site support during events, including managing registration desks, coordinating with vendors, and assisting with event setup and breakdown.
  • Assist in post-event evaluation and analysis, including the collection and analysis of attendee feedback.
  • Coordinate banquet event orders, including food selections, room setups, AV, and program schedule sequences with venues.
  • Work with vendors and suppliers to ensure all event-related needs are met.
  • Available to travel to and attend all SNAC events, including those in the DC area and those requiring air travel.
  • Handle day-to-day administration of events as needed.
  • Plan and attend pre-show site visits.
  • Track event budgets and expenses.
  • Review final event bills and report discrepancies directly to event venues.
  • Create, edit, and approve signage with the marketing department.
  • Manage signage placement on site and ensure correct placement for each scheduled event.
  • Coordinate and purchase sponsorship order needs.
  • Contract and build mobile apps for annual events.
  • Attend snack industry-related events and business events throughout the year.
  • Provide support to the marketing department, advocacy department, and CEO as assigned.
Requirements
  • 2-3 years of experience in event planning or event coordination in a corporate environment.
  • Proven track record of creative, successful events.
  • Experience working with colleagues in event planning, sales, marketing, and communications.
  • Excellent organizational, communication, written, negotiating, and multitasking skills.
  • Excellent customer service skills.
  • Must be willing to travel.
  • Bachelor's degree.
