Position Summary

We are seeking a detail-oriented and organized individual to support our meetings and events team. The Coordinator of Meetings & Events will assist in planning, coordinating, and executing SNAC International's meetings, conferences, and events. This role requires excellent communication and customer service skills, as well as the ability to manage multiple projects simultaneously in a team-based environment.

Key Responsibilities

  • Assist in the planning and execution of 8-10 meetings, conferences, and events, including the annual convention, educational programs, networking events, and webinars.
  • Manage event registration processes, including registration websites and databases, and provide customer service support related to event registration.
  • Provide on-site support during events, including managing registration desks, coordinating with vendors, and assisting with event setup and breakdown.
  • Assist in post-event evaluation and analysis, including the collection and analysis of attendee feedback, and prepare post-event reports and summaries for internal and external stakeholders.
  • Coordinate banquet event orders, including food selections, room setups, AV, and program schedule sequences with venues.
  • Work with vendors and suppliers to ensure all event-related needs are met.
  • Available to travel to and attend all SNAC events, including those in the DC area and those requiring air travel.
  • Handle day-to-day administration of events as needed.
  • Plan and attend pre-show site visits.
  • Track event budgets and expenses, and review final event bills to report discrepancies to event venues.
  • Create, edit, and approve signage with the marketing department, manage signage placement on site, and ensure correct placement for each scheduled event.
  • Coordinate and purchase sponsorship orders.
  • Contract and build mobile apps for annual events.
  • Attend snack industry-related events and business events throughout the year.
  • Provide support to the marketing, advocacy, and CEO departments as assigned.

Required Skills and Qualifications

  • 2-3 years of experience in event planning or event coordination in a corporate environment.
  • Proven track record of creative, successful events.
  • Experience working with colleagues in event planning, sales, marketing, and communications.
  • Excellent organizational, communication, written, negotiating, and multitasking skills.
  • Excellent customer service skills.
  • Must be willing to travel.
  • Bachelor's degree.
