About This Role

We are seeking a highly organized and detail-oriented Proposal Coordinator to join our team. The successful candidate will assist the Estimating department with managing bids for all projects company-wide. This role involves organizing and distributing proposal documents, tracking deadlines, and maintaining accurate records.

Key Responsibilities
  1. Proposal Management
  • Receive, review, and analyze RFPs, RFQs, and RFIs to determine proposal requirements and deadlines.
  • Perform a high-level review of the inquiry to interpret the scope of work proposal requirements and associated deliverables.
  • Distribute RFP documents to the estimating team and executive teams detailing the scope of work, pre-bid and proposal due dates, and estimated construction dates.
  • Track bid deliverables to ensure that all proposals are fully compliant with client requirements, including formatting, content, and submission procedures.
  • Develop and maintain proposal schedules, ensuring that all proposal deliverable items are completed on time.
  • Serve as the primary point of contact for all proposal-related inquiries and communications with the client.
Document Management
  • Download and organize RFPs on company servers.
  • Maintain and update proposal document templates and relevant RFP materials for easy access and retrieval.
Communication and Coordination
  • Monitor the estimating email for new and updates to RFPs.
  • Send and update calendar invites that track pre-bid and proposal due dates.
  • Input and track RFP information in Salesforce.
Data Management and Analysis
  • Maintain a database in Salesforce of submitted proposals, including tracking wins and losses for future reference and analysis.
Requirements

We are looking for a highly organized and detail-oriented individual with excellent written and verbal communication skills. The successful candidate will have:

  • Strong project management and organizational skills, with the ability to manage multiple projects simultaneously.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and proposal management software.
  • Ability to work under pressure and meet tight deadlines.
  • Knowledge of construction processes, terminology, and industry standards is highly desirable.
