Position Summary

The College of Southern Maryland (CSM) is a prestigious institution recognized for its commitment to student success and community engagement. As an Executive Assistant to the Vice President of People, Culture, and Equity (VPPCE), you will play a crucial role in ensuring the smooth operation of the division, which includes Payroll, Total Rewards, Talent Acquisition, Employee Relations, and Organizational Development.

Key Responsibilities:

1. Administrative Support (40%):
  • Oversee and organize the VPPCE's calendar, managing meetings, appointments, and travel logistics.
  • Prioritize and screen incoming communications, responding or redirecting as necessary.
  • Draft and refine correspondence, reports, presentations, and various documents.
  • Maintain confidential files and records with the utmost discretion.
  • Assist in supporting the Board of Trustees Benefits and Compensation Board Sub-Committee by coordinating meetings and maintaining committee materials.
  • Manage budget-related tasks, including requisitions and purchase orders, while resolving discrepancies independently.
  • Update and maintain HR contact lists and departmental mailing lists.

2. Meeting Coordination (20%):
  • Prepare materials for meetings, including agendas and minutes.
  • Arrange logistics for on-site and off-site meetings and events.
  • Track follow-up actions from meetings to ensure timely completion.
  • Assist in planning and hosting special events.

3. Project Management (10%):
  • Support the planning and execution of HR projects and initiatives.
  • Conduct research and compile data for HR reports.
  • Monitor project timelines to ensure objectives are met.

4. Communication and Liaison (10%):
  • Act as a point of contact between the VP of HR and various stakeholders.
  • Facilitate communication within the HR department and across the organization.
  • Respond to inquiries and provide information as needed.

5. Travel and Expense Management (10%):
  • Coordinate travel arrangements for the VP of HR.
  • Prepare and submit expense reports in compliance with policies.

6. Confidentiality and Discretion (10%):
  • Handle sensitive information with confidentiality and integrity.
  • Ensure compliance with institutional policies and procedures.

Minimum Education and Training:
  • Associate degree required.
  • Five years of experience in office or administrative support.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

Preferred Education and Experience:
  • Bachelor's degree preferred.
  • Experience in human resources is advantageous.

Knowledge, Skills, and Abilities:
