We are currently in search of an Office Coordinator to enhance our expanding Chicago studio.

Position Summary

The Office Coordinator plays a vital role in providing comprehensive administrative and operational support across various departments within the Olson Kundig offices. Success in this position requires outstanding organizational and communication abilities, a keen eye for detail, a proactive and client-focused mindset, and a strong commitment to teamwork. This role will collaborate with internal teams to achieve exceptional outcomes within set timelines while assisting management with assigned administrative tasks.

Key Responsibilities:Administrative & Office Support:
  • Manage incoming and outgoing correspondence, deliveries, and courier services.
  • Ensure common areas, including kitchens and meeting rooms, are maintained in a clean and orderly manner.
  • Monitor and replenish office supplies and inventory as necessary.
  • Prepare conference rooms for virtual meetings.
  • Perform basic maintenance on office equipment, such as printers.
  • Organize and maintain the materials library as required.
  • Set up workstations for new hires, ensuring readiness for their first day.
  • Coordinate catering for meetings and office events, ensuring timely and accurate service.
Reception Duties:
  • Handle multi-line phone systems and manage incoming calls.
  • Welcome visitors and provide general office assistance.
  • Maintain a professional and inviting reception area.
Event Coordination:
  • Plan and arrange food and beverages for meetings and events.
  • Collaborate with stakeholders to organize company events on a regular basis.
Vendor Coordination:
  • Act as a liaison with building management for maintenance and delivery issues.
  • Coordinate with cleaning services for office upkeep.
  • Manage maintenance requests for office equipment.
Qualifications:
  • At least 2 years of experience in office support or related fields.
  • Experience in planning and coordinating events.
  • Exceptional organizational skills and attention to detail.
  • Ability to work independently and collaboratively within a team.
  • Strong time management skills to handle multiple priorities.
  • Excellent interpersonal skills for effective communication with various stakeholders.
