Key Responsibilities:

  • Document all asset management processes and protocols.
  • Oversee, integrate, and enhance the asset and software license components within the IT Service Management (ITSM) tool.
  • Maintain a comprehensive asset management database that captures all essential information for the lifecycle of IT assets.
  • Address and rectify discrepancies found in the asset management database, updating records following any custodial changes.
  • Conduct reconciliation of discovered assets that are not recorded in the asset management database.
  • Manage stock locations for assets awaiting deployment or disposal.
  • Ensure documentation related to asset management processes and procedures is up-to-date.
  • Collaborate with various departments including OIT, business, finance, procurement, and legal to generate reports that facilitate vendor contract negotiations.
  • Stay informed about changes in software or hardware and plan accordingly.
  • Oversee and track software licenses, reviewing volume and expenditure agreements to ensure compliance.
  • Validate the receipt of tracked assets and resolve any discrepancies in quantities with vendors.
  • Conduct scheduled quality assurance tasks to validate the accuracy of asset management database records.

Desired Experience:

  • Proven ability to collaborate with business, finance, procurement, and legal departments to produce reports that support vendor contract negotiations.
  • Experience in logistics, including the packing and shipment of assets.
  • Familiarity with a Configuration Management Database (CMDB) and the business services it supports.
  • Strong understanding of software licensing agreements.
  • Knowledge of IT Service Management processes.
  • Ability to perform assigned tasks independently with minimal supervision.
  • Excellent communication and interpersonal skills.

Qualifications:

  • A minimum of five (5) years of experience in Asset Management.
  • Relevant Quality Certification (such as ITIL or equivalent).
