About This Role

At the Safer Foundation, we are dedicated to providing social services to individuals with arrest and conviction records, helping them prepare for employment and find meaningful work. As an Office Administrator, you will play a vital role in supporting our Director and QC staff/programs, providing administrative assistance and ensuring the smooth operation of our office. This position is responsible for reports generation, word processing, copying documents, filing, making travel arrangements, performing HR on-boarding tasks, and communicating with our Safer MIS system. Key Responsibilities

  • Administrative Support
    • Provide administrative assistance to the Director and QC staff/programs, including reports generation, word processing, and copying documents.
    • Manage the office filing system, ensuring all documents are up-to-date and easily accessible.
    • Make travel arrangements for QC staff as needed, including booking flights, hotels, and rental cars.
    • Perform HR on-boarding tasks, including preparing and filing new hire paperwork.
  • Communications
    • Communicate with our Safer MIS system, ensuring accurate and timely reporting.
    • Act as the primary liaison with our Safer advisory board, coordinating meeting notices and preparation of quarterly meeting minutes.
  • Operations
    • Oversee the maintenance of office equipment, including copiers, phones, and computers.
    • Coordinate the purchasing of resources and supplies for all QC locations, ensuring timely and cost-effective ordering.
    • Reconcile and prepare monthly financial reports, including petty cash and AMEX reports.

Requirements

  • Education and Experience
    • Associate's degree in Secretarial Science, Business, or a related discipline.
    • Three years of related experience in administrative support or a similar role.
  • Skills and Abilities
    • Excellent organizational and communication skills.
    • Strong attention to detail and ability to multitask.
    • Proficiency in computer software applications, including word processing, spreadsheets, and databases.
    • Able to handle sensitive and confidential situations with poise, tact, and diplomacy.
