Fleet Coordinator

Spark Power, a reputable leader in energy solutions across North America, is seeking a Fleet Coordinator to enhance organizational efficiency through proficient fleet oversight and administration. The Fleet Coordinator will be responsible for managing all aspects related to fleet contracts and operations. Collaborating with the fleet team, you will provide tactical support in areas such as vehicle procurement, customization, maintenance, fuel management, rental oversight, and telematics troubleshooting, all while optimizing fleet value and minimizing risks for drivers and partners, both internal and external.

Key Responsibilities:
  • Oversee and administer the Spark Power North American fleet, which includes: Maintenance, Fuel Management, Rentals, Licensing, Accident Management, Insurance, Inventory Control, Driver Database, and Telematics Data for a fleet of approximately 600 vehicles. Assist in budget reporting for Fleet operations on a quarterly basis or as required.
  • Manage all rental vehicles nationwide, ensuring compliance with Spark Power's guidelines while maintaining effective communication with field teams to promote cost awareness in the rental vehicle program.
  • Administer lease agreements for all fleet vehicles in Canada and the US, ensuring timely acquisition of titles and insurance for new vehicles, while maintaining registration and insurance for existing units.
  • Collaborate with third-party suppliers, including decal providers, GPS service providers, and maintenance vendors.
  • Maintain Fleet Management software and oversee all fleet-related licenses, maintenance, and fuel card tracking.
  • Ensure accurate and timely record-keeping for all fleet services.
  • Ensure compliance with all Standard Operating Procedures (SOPs) and recommend updates as necessary.
  • Assist the Fleet Manager in implementing and maintaining all Spark Power Fleet policies and oversee preventative maintenance execution to enhance fleet efficiency.
  • Proactively monitor and report on fleet operational performance, including lifecycle management, fuel usage, cost analysis, and rental utilization, while providing expert recommendations for maintenance and repairs.
  • Support the Fleet Manager in developing systematic methods for savings, supplier performance monitoring, and sourcing effectiveness, communicating results to relevant stakeholders.
  • Establish a comprehensive playbook for operational input regarding new acquisitions and building consolidations.
  • Drive continuous improvement of Key Performance Indicators aligned with Fleet Team objectives and company goals.
  • Oversee the billing process, ensuring accuracy and compliance with contractual obligations.
  • Coordinate with vendors and suppliers to ensure timely and accurate payment processing.
  • Perform additional duties as assigned and assist with ad hoc tasks.

Qualifications:
  • Understanding of current fleet industry trends, methodologies, and technologies.
  • Certificate, Diploma, or Degree in Business, Supply Chain, Fleet Management, or a related field from an accredited institution.
  • Proficiency in Microsoft Office Suite, particularly Excel, PowerPoint, and Power BI.
  • 1-2 years of experience in a fleet or related role is advantageous.
