Academic Program Coordinator

We are seeking a highly organized and detail-oriented Academic Program Coordinator to join our team at the Johns Hopkins University Krieger School of Arts and Sciences (KSAS). The successful candidate will be responsible for managing and supporting all aspects of academic administration, including admissions and enrollments, PhD appointment letters, Job Market, and degree conferral processing for the PhD program in the Economics Department.
Key Responsibilities- Admissions and Enrollments
- Coordinate the admissions inquiry process, responding to emails, phone calls, and walk-ins from prospective students.
- Manage the application process using the Slate system, in accordance with Graduate Admissions' instructions.
- Enter department financial support in the Slate system for each admission offer.
- Track applicant statistics and create reports using the Slate system.
- Job Market Administration
- Maintain electronic folders for PhD Job Market candidates.
- Serve as the reference letter proxy for faculty members.
- Upload reference letters to various job market systems and respond to individual email requests.
- Maintain and reconcile electronic spreadsheets and reference letters.
- Additional Program Support
- Initiate appointment letters for new incoming and continuing PhD students.
- Coordinate the process for setting up an approved Graduate Board Oral (GBO) Exams committee.
- Report results and gather completion documents for the Doctoral Board review.
- Upload degree completion documents and complete the electronic Expected to Graduate List.
- Course Scheduling
- Update AS Economics courses in SIS as requested and each semester.
- Update the Course Catalogue annually.
- Assist with monitoring course schedules and deadlines.
- Finance Administration
- Track budget costs and report balances to the student representative and faculty advisor.
- Track and document department P-Card expenditures.
- Reconcile Operating account expenses.
- Submit tuition and health insurance support via DGA.
- Administrative Support
- Help organize and execute annual events, including Open House and the Johns Hopkins Distinguished Lecture Series.
- Order catering and office supplies.
- Manage the department's Twitter page and website updates.
- Manage the room reservation calendar and swipe-card access.
- High School Diploma or graduation equivalent.
- Three years of administrative/academic related experience.
- Additional education may substitute for required experience.
- Bachelor's Degree.
