Healthcare Administrative Specialist

Position Summary:
The Clinical Support Specialist plays a crucial role in managing and reviewing essential clinical documentation and physician referrals. This position involves preparing necessary consents for in-office procedures and organizing electronic medical records for upcoming patient appointments. Additionally, the specialist will conduct pre-visit phone calls to patients, generate x-ray orders in accordance with clinic protocols, and gather test results and medical records as needed. This role will initially require in-office presence for training and probation, transitioning to a hybrid remote and in-office model thereafter.
Key Responsibilities:
- Deliver exceptional customer service to patients, visitors, and colleagues.
- Accurately prepare all intake forms and electronic medical records for scheduled appointments in a timely manner.
- Collect diagnostic testing reports, lab results, and other relevant medical records from external facilities for upcoming clinic visits.
- Ensure that all relevant records, test results, imaging, and referral information are promptly available in the electronic medical record (EMR) system.
- Prepare necessary consents, excuse notes, work comp status forms, and patient education materials for visits.
- Review schedules for accuracy, identifying any errors or duplicates.
- Conduct pre-visit phone calls to confirm procedure preparations or testing requirements and to obtain necessary imaging discs and reports.
- Organize and digitize all chart preparation documentation for the assigned clinic.
- Input appropriate x-ray orders into the EMR system.
- Document any relevant pre-visit information into the patient chart within the EMR.
- Safeguard the confidentiality and security of all protected health information (PHI) in compliance with state and federal HIPAA regulations.
- Perform additional duties as assigned.
Qualifications:
- High School Diploma required.
- A minimum of 1 year of experience in a medical office setting, as an LPN, Medical Assistant, or CNA is essential.
- Familiarity with medical terminology, clinical practices, and diagnostic testing is necessary.
- Strong organizational and time management skills, along with proficiency in EMR systems, are required.
