ESSENTIAL QUALIFICATIONS:

  • Proven experience in collections
  • Medium volume account management
  • Familiarity with ERP systems, particularly Sage (not mandatory)
  • Positive attitude and ability to collaborate effectively

The Accounts Receivable Collections Supervisor will be responsible for overseeing, investigating, delegating, and resolving all A/R Credit and Collections activities in conjunction with our international office, while also managing the Credit & Collections for non-Asian clientele.

Key Responsibilities:

  1. Review and respond to all communications from the international office and other departments each morning.
  2. Lead the Credit Analyst Team in collecting from both domestic and international jewelry customers, while managing collections for Cannabis clients.
  3. Address inquiries from the international team regarding payment discrepancies and account reconciliations.
  4. Examine customer accounts to rectify outdated balances, ensuring the international credit team submits necessary documentation for credits or informs customers of outstanding balances.
  5. Organize documentation to facilitate the posting and processing of payments received from international banks.
  6. Generate weekly A/R Aging reports, distinguishing between international and domestic accounts, and communicate findings to the accounting team.
  7. Process credit card payments for domestic customers as directed by customer service to enable order fulfillment.
  8. Handle customer requests for invoice payments via credit card, ensuring proper cash application procedures are followed.
  9. Manage the receipt and processing of customer checks through remote deposit systems.
  10. Establish new customer accounts in the ERP system, including sending credit applications and verifying trade references.
  11. Investigate customer issues and disputes to ensure satisfactory resolutions.
  12. Respond to customer inquiries for copies of invoices and credit memos.
  13. Provide backup support to the Cash Application specialist.
  14. Monitor open sales orders on hold due to credit limits and authorize appropriate releases for shipment.
  15. Coordinate with logistics on incoming shipments to initiate payment terms for specific customers.
  16. Create and maintain Excel spreadsheets for customers detailing sales orders and invoices, tracking payments diligently.
  17. Engage with customers regarding Proforma terms to secure payments for product balances and shipping costs.
  18. Communicate with the shipping department to confirm payment statuses for orders ready for dispatch.
  19. Update customer accounts with credit card information as requested.
  20. Process credit card transactions for international customers as requested by the accounting team.
  21. Review and approve orders for international customers exceeding credit limits or with overdue invoices.
  22. Generate Statements of Account (SOA) and distribute them to customers.
  23. Mail invoices to customers who prefer physical copies over electronic communications.
  24. Collaborate with collection agencies on overdue accounts.
  25. Compile weekly reports on customers with outstanding balances or credit limit issues.
