Job Summary

We are seeking a highly skilled and experienced Office Services Associate to join our team at Williams Lea LLC. As a key member of our office services team, you will be responsible for providing exceptional support to our clients and colleagues.

Key Responsibilities
  • Utilize appropriate logs for all office services work, ensuring accurate and efficient tracking of tasks and deadlines.
  • Perform a range of office services, including reprographics, mail, and intake functions, in accordance with established procedures and guidelines.
  • Communicate effectively with supervisors, clients, and colleagues to ensure seamless execution of tasks and projects.
  • Meet contracted deadlines for accepting, completing, and delivering all work, demonstrating a strong commitment to quality and timeliness.
  • Troubleshoot basic equipment problems and perform routine maintenance tasks to ensure optimal equipment performance.
  • Load machines with various paper, toner, and supplies, and maintain a clean and organized workspace.
  • Answer telephone calls, respond to emails, and place service calls as needed, providing exceptional customer service and support.
  • Interact with clients in person, over the phone, or electronically, building strong relationships and ensuring client satisfaction.
  • Adhere to Williams Lea policies and client site policies, maintaining a high level of professionalism and integrity.
  • Use equipment and supplies in a cost-efficient manner, minimizing waste and optimizing resources.
  • May train new Office Services Associates, sharing knowledge and expertise to ensure a smooth onboarding process.
Working Conditions

This role operates in a fast-paced office environment, with a maximum of 24/7 operations. Individual shift requirements will vary by site, and the ability to work overtime as needed is essential.

The position involves working with office machines, cleaning supplies, and toner, and requires the ability to work standing up for extended periods. Hazards include copier noise, operation of heavy equipment, and exposure to dust and chemicals.

Requirements
  • High school diploma or equivalent.
  • Minimum 3 years' office services experience, preferably in a legal, banking, or large corporate environment.
  • Skilled in the use of mail, phone, email, digital reprographics, and mail equipment.
  • Familiar with general back office procedures to meet and maintain client satisfaction.
  • Proven customer service skills, with the ability to create, maintain, and enhance customer relationships.
  • Good written and verbal communication skills, including professional telephone and email etiquette.
  • Attention to detail, with good organizational skills and the ability to meet deadlines.
  • Ability to handle sensitive and/or confidential documents and information.
  • Able to make independent decisions that conform to business needs and policy.
  • Good problem-solving skills, with the ability to escalate problems to a supervisory level when necessary.
  • Ability to work in a team environment and interact effectively with multi-functional and diverse backgrounds.
  • Self-motivated with a positive can-do attitude.
Supervision

This position reports to the Lead Office Services Associate, Supervisor, Manager, or Director, and receives guidance and support as needed.

Job Relationships

This role works closely with the Office Services team and interacts with clients to provide exceptional support and service.
