Job Summary

We are seeking a highly skilled and experienced Collections/Client Relations Coordinator to join our team at Fox Rothschild LLP. As a key member of our Accounting Department, you will be responsible for performing collection activities associated with outstanding/delinquent account receivables.

Key Responsibilities
  • Review the status of assigned accounts, particularly for delinquent receivables, and provide guidance to Collections/Client Relations Assistants as needed.
  • Proactively identify potential collection issues and prioritize workload to ensure maximum client coverage.
  • Mail monthly reminder statements and make 45-day "gentle inquiry calls" to confirm receipt of invoices.
  • Work closely with assigned attorneys to maximize collection efforts and develop and maintain positive relationships with internal and external clients.
  • Respond to client inquiries in a timely manner and provide copies of invoices and/or billing & payment analysis as needed.
  • Research client discrepancies, such as short payments or duplicate payments, and act as a liaison between the client and the Firm to ensure any discrepancies are corrected.
  • Update collection notes in ARCS (Accounts Receivables Collections Software) on a timely basis and schedule necessary follow-up tasks.
  • Monitor accounts for pre-approved discounted payments and handle submission of any necessary write-offs to clean up account balances.
Requirements
  • Associate Degree or equivalent work experience required; Bachelor's degree in Accounting preferred.
  • Minimum of five years collections experience in a law firm (preferred) or other professional services organization.
  • Elite Enterprise, ARCS 3, and ARCS 2G experience a plus.
  • Strong mathematical skills, attention to detail, and high level of accuracy required.
  • Strong organizational skills and ability to prioritize and multi-task with a high volume of work in a fast-paced environment.
  • Exceptional oral and written communications/client service skills.
Work Environment and Physical Demands

This job operates in a clerical, office setting and requires the ability to work well independently as well as in a team environment. The worker is required to have close visual acuity to perform activities such as preparing and analyzing data and figures, transcribing, viewing a computer terminal, and extensive reading.
