Our commitment is to empower all patients and members to lead fulfilling lives. Medical Guardian engages in various governmental initiatives nationwide, including Home and Community Based Service Waivers and collaborations with Medicaid Managed Care Organizations (MCOs). The primary beneficiaries of Medical Guardian's services are elderly individuals receiving care and case management from local agencies and health plans.

Reporting directly to the Director of Revenue Cycle, the Client Intake Supervisor will lead and direct the strategies and activities of the Intake Team to maximize their effectiveness and drive growth. This role is hybrid, requiring on-site presence at our designated location on specified days.

Key Responsibilities:

  • Oversee a team of 10-15 intake representatives, including a supervisory role
  • Monitor daily, weekly, and monthly performance metrics for the Intake team to ensure that all performance targets and service level agreements (SLAs) are achieved
  • Review incoming items in queues, assigning and distributing tasks to the team efficiently to meet payer commitments
  • Establish and communicate team structure guidelines that positively influence performance metrics and departmental objectives
  • Conduct audits and provide coaching on the quality of work item completion to ensure accuracy
  • Collaborate closely with Billing, Installation, Compliance, Sales, and IT departments to meet both external partner expectations and internal team requirements
  • Maintain effective communication with Care Managers across various agencies
  • Ensure completion of daily portal scrubs
  • Develop expertise in all payer portals and gather necessary information to process incoming referrals and updates
  • Create new agency portal logins to ensure uninterrupted access for the team
  • Develop process documentation and training materials for all team members
  • Responsible for recruitment and all relevant employee actions
  • Approve timecards for payroll processing
  • Report end-of-month team statistics and production metrics
  • Provide consistent mentoring and coaching to team members, including the team lead
  • Deliver daily and weekly updates on data processing, agency interactions, issues, and system changes to the team
  • Work closely with Regional Directors to understand changes, updates, and issues within agencies

Qualifications:

  • Bachelor's degree or equivalent professional experience
  • A minimum of 3 years of relevant supervisory or management experience
  • Strong communication skills
  • Proficiency in Microsoft Office Suite
  • A collaborative team player who thrives in a dynamic and entrepreneurial environment
  • Familiarity with MCO and Medicaid portals is advantageous
  • Experience with payer referrals or patient intake is a plus
