Position Summary:
The Customer Service Specialist serves as the initial contact for our existing and prospective patients. This role is pivotal in managing patient inquiries, coordinating appointments, and fostering a positive customer experience.
Key Responsibilities:
- Responding to incoming calls and scheduling patient appointments.
- Managing a substantial volume of inbound and outbound calls while striving to ensure a pleasant experience for each caller.
- Reporting any customer grievances to management.
- Documenting all interactions with patients in our Electronic Medical Records (EMR) system.
- Processing payments over the phone.
- Verifying and updating patient information during the scheduling process.
- Regularly checking voicemails and returning calls to patients as needed.
- Conducting research to provide accurate answers to patient inquiries.
- Collaborating with the practice management team to ensure precise scheduling.
- Handling challenging situations with professionalism.
- Managing incoming and outgoing referrals.
- Adhering to HIPAA regulations.
- Performing additional duties as assigned.
Qualifications:
- High School Diploma or GED is required.
- 1-3 years of experience in a medical office setting.
- Proficient computer skills, including basic knowledge of Excel and email, along with strong typing abilities.
- Excellent verbal, listening, and written communication skills in English; proficiency in Spanish or another language is a plus.
- Ability to multitask, quickly learn new information, and adapt to changes in practice.
- Outstanding organizational skills.
Physical Demands:
- Extended periods of sitting at a desk and working on a computer.
- Must be capable of lifting up to 15 pounds occasionally.
