Position Summary:

The Customer Service Specialist serves as the initial contact for our existing and prospective patients. This role is pivotal in managing patient inquiries, coordinating appointments, and fostering a positive customer experience.

Key Responsibilities:

  • Responding to incoming calls and scheduling patient appointments.
  • Managing a substantial volume of inbound and outbound calls while striving to ensure a pleasant experience for each caller.
  • Reporting any customer grievances to management.
  • Documenting all interactions with patients in our Electronic Medical Records (EMR) system.
  • Processing payments over the phone.
  • Verifying and updating patient information during the scheduling process.
  • Regularly checking voicemails and returning calls to patients as needed.
  • Conducting research to provide accurate answers to patient inquiries.
  • Collaborating with the practice management team to ensure precise scheduling.
  • Handling challenging situations with professionalism.
  • Managing incoming and outgoing referrals.
  • Adhering to HIPAA regulations.
  • Performing additional duties as assigned.

Qualifications:

  • High School Diploma or GED is required.
  • 1-3 years of experience in a medical office setting.
  • Proficient computer skills, including basic knowledge of Excel and email, along with strong typing abilities.
  • Excellent verbal, listening, and written communication skills in English; proficiency in Spanish or another language is a plus.
  • Ability to multitask, quickly learn new information, and adapt to changes in practice.
  • Outstanding organizational skills.

Physical Demands:

  • Extended periods of sitting at a desk and working on a computer.
  • Must be capable of lifting up to 15 pounds occasionally.
