Job Description

We are seeking a highly skilled and organized Executive Assistant to join our team at ONE2ONE Inc.

Key Responsibilities:

  • Emulate and promote our company culture by adhering to our vision, mission, and core values.
  • Provide exceptional customer service to all existing and prospective customers.
  • Manage and maintain executive calendars, including scheduling meetings, appointments, and calls.
  • Prepare and edit correspondence, reports, presentations, and other documents.
  • Handle and prioritize incoming emails, phone calls, and other communications.
  • Coordinate and schedule sales qualified leads (SQLs).
  • Prepare PowerPoint presentations for outside sales meetings.
  • Arrange travel and accommodation for trips, including itinerary management.
  • Provide personal assistance to executives.
  • Organize, coordinate, and attend meetings, including preparing agendas, taking minutes, and following up on action items.
  • Coordinate with various departments to gather necessary information and resources.
  • Conduct research on trends, competitors, and other relevant topics to provide insights to our CEO.
  • Review and approve timesheets.
  • Act as the primary point person/liaison between our CEO and employees and clients.
  • Assist in planning and execution of projects to ensure deadlines are met.
  • Update scorecards to track company/department metrics.
  • Update social media posts.
  • Record time and notes for our CEO in CRM software, ConnectWise.

Requirements:

  • Strong skills in managing schedules, coordinating meetings, and handling multiple tasks.
  • Attention to detail in managing documents, correspondence, and scheduling.
  • Effective prioritization of multiple tasks and deadlines.
  • Clear and professional interaction with executives, clients, and staff.
  • Proficiency in drafting and editing emails, reports, and other documents.
  • Ability to work well with diverse teams and manage relationships effectively.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), or other relevant software.
  • Experience with CRM systems or other database tools.
  • Skills in managing projects, tracking progress, and ensuring deadlines are met.
  • Efficiently using resources and managing budgets if needed.
  • Maintaining confidentiality and exercising discretion with sensitive company information and executive matters.
  • Ability to anticipate needs, solve problems proactively, and handle unexpected issues.
  • Making informed decisions quickly and efficiently.
  • Ability to adapt to changing priorities and handle a variety of tasks as needed.
  • Maintaining composure under pressure and managing stress effectively.
