Job Overview

Join a prominent player in the commercial solar energy sector as a Project Management Specialist. Eaglestone Holdings is dedicated to providing innovative solar solutions and is seeking a motivated individual to support our project coordination efforts.

Key Responsibilities

As a Project Management Specialist, you will:

  • Ensure all customer agreements are fully executed before initiating project setup.
  • Regularly monitor Change Orders, entering approved modifications and budget adjustments in our project management system.
  • Oversee project cash flow, collaborating with Project Managers to optimize billing and financial positioning.
  • Participate in monthly Work In Progress (WIP) meetings, utilizing real-time data to clarify project statuses.
  • Secure monthly cost completion data from Project Managers and input it into the system.
  • Establish new projects in the management system, detailing Contract Value, Costs, and Gross Margins as approved.
  • Document project team assignments and manage administrative tasks related to Certificates of Insurance.
  • Prepare and send out monthly and weekly invoices to clients.
  • Facilitate AIA billing processes and ensure accurate billing in the management system.
  • Maintain updated contact information for accounts payable representatives and document payment processes.
  • Assist clients in managing outstanding receivables.
  • Verify supplier and subcontractor invoices for accuracy and readiness for payment.
  • Generate purchase orders and document received goods.
  • Administer and issue subcontracts as required.
  • Match accounts receivable receipts with subcontractor invoices.
  • Collaborate with warehouse administration to confirm material deliveries.
  • Communicate effectively with Operations Managers, Project Managers, and Accounting regarding contract documents and billing modifications.
  • Support operational and accounting teams in client collections and cash application.
  • Assist Project Managers with various tasks as needed.
Qualifications

To be successful in this role, you should possess:

  • Strong problem-solving skills and resourcefulness.
  • The ability to navigate a matrixed organizational structure.
  • Intermediate to advanced proficiency in computer applications, including ERP systems.
  • A minimum of two years of relevant experience.
  • An Associate degree, with coursework in accounting or business; a BA/BS degree is preferred.
  • Financial acumen and a background in construction is advantageous.
  • Excellent written and verbal communication skills, along with strong organizational abilities.
  • The capability to work independently, prioritize tasks, and see projects through to completion.
  • Good judgment and a strong focus on customer service.
  • A commitment to fostering a culture of teamwork, respect, and integrity.
  • Adherence to established policies and procedures.
  • Opportunities for advancement into Accounting and Project Management roles.
