Job Summary:

We are seeking a highly skilled Project Assistant to join our team in the Department of Plastic Surgery. The successful candidate will provide a broad range of support towards the development, implementation, and success of projects within the department. This role requires effective communication, organizational skills, and the ability to work under pressure.

Main Responsibilities:

  • Coordinate with prospective volunteers and collect necessary documentation for onboarding;
  • Support the Summer Research Program by working closely with the research team on cohort selection, scheduling interviews, setting up supplier profiles, and processing intern stipend payments;
  • Assist with hiring, onboarding, and immigration processes related to fellowship;
  • Maintain grant-related documents for research faculty and assist with administrative aspects of the grant application process;
  • Provide administrative support to research labs as needed, including ordering supplies, setting up recurring room reservations, and assisting with logistics;
  • Manage reimbursement requests for faculty, staff, and residents in the department;
  • Perform general clerical duties such as photocopying, faxing, mailing, and filing, as well as ordering office supplies and maintaining the department supply room;

Requirements:

  • Bachelor's degree or equivalent in business administration, healthcare administration, or a related field;
  • At least 1 year of experience in an office setting or an equivalent combination of education and experience;
  • Excellent oral, written communication, and interpersonal skills;
  • Working knowledge of Microsoft Office (Word, Excel, PowerPoint, Access) and basic office software;
  • Able to develop basic formulas for spreadsheets, set up routine computer procedures, and proofread documents;
  • Ability to type at least 45 net words per minute;
  • Familiarity with standard office practices and equipment such as copy machines, multi-line telephones, and fax machines;
