Job Title: Customer Service Representative

At Hawaii Petroleum Inc, we are seeking a highly skilled and customer-focused Customer Service Representative to join our team.

Job Summary

The Customer Service Representative will be responsible for delivering exceptional service to our customers, handling customer inquiries, and resolving issues in a timely and professional manner.

Key Responsibilities
  • Provide high-level service to customers and vendors associated with all areas of the wholesale operations.
  • Proactively handle all forms of customer enquiries through in-person interactions, phone calls, fax, and email.
  • Receive and process payments in all accepted forms, maintaining confidentiality and integrity with all customers.
  • Create and monitor HFN member services, including card maintenance and re-issue.
  • Assist with invoicing for both HFN and Bulk account customers, including monthly mailing of HFN invoices.
  • Maintain all customer and internal files and documents, balance cash box daily, and prepare deposits for A/R clerk.
  • Maintain Company spreadsheets, binders, and logs when assigned, and assist in the processes associated with collections protocol for overdue customers.
  • Comply with all Federal, State, Local, and Company safety, health, and environmental regulations, and attend all Company required training sessions.
  • Regular attendance and qualified absences related to the State and Federal Family Medical Leave Act must be reported to Human Resources.
Requirements
  • Candidates must be 18 years of age or older.
  • A high school diploma or GED equivalent is required, along with a minimum of 3 years of customer service experience.
  • Professional-level communication and interpersonal skills, including verbal and written communication over multiple platforms.
  • Professional-level ability with Microsoft Office applications, including Teams, Word, Excel, Outlook, and PowerPoint.
  • Detail-oriented and proactive, with the ability to multitask and prioritize projects based on customer needs.
  • An ability to effectively communicate with customers, vendors, and coworkers in a professional manner, as well as handle difficult customers/situations in a calm and professional way.
  • Must be accurate with data management, with high attention to detail and a professional awareness of the integrity, sensitivity, and confidentiality associated with data obtained by the Company.
  • Possession of and maintaining a valid Type 3 Driver's License is a requirement of this role, as well as having reliable and business-appropriate transportation for work purposes.
