Position Summary
Stratagem Solutions, Incorporated is seeking qualified candidates to fulfill a future need for administrative assistance within PEO Aviation. The ideal candidates will possess recent and relevant experience in providing similar support to Department of Defense (DoD) entities or contractors.
Key Responsibilities:
- Engage with a variety of internal and external stakeholders across different levels of the organization.
- Coordinate and monitor staff activities in accordance with Army protocols.
- Review incoming and outgoing documents and briefings for accuracy, grammar, spelling, punctuation, and formatting.
- Utilize advanced knowledge of Microsoft Office Suite to create PowerPoint presentations, Excel spreadsheets, OneNote notebooks, and documentation in Word and Adobe Acrobat.
- Manage complex calendar events using Microsoft Outlook, and organize both unclassified and classified meetings, video teleconferences, and Microsoft Teams sessions.
- Exercise independent judgment to plan, prioritize, and manage a diverse workload in a fast-paced, detail-oriented environment.
- Perform administrative tasks such as arranging travel, creating travel orders, and processing travel vouchers within financial systems like the Defense Travel System.
- Provide detailed lists of items for Government Purchase Card (GPC) holders to ensure accurate office procurement, coordinating to confirm item descriptions and delivery.
- Compile monthly office publication contributions, conduct thorough reviews for grammar and punctuation, collaborate with team leads for feedback, finalize updates, and convert documents to Adobe Acrobat for publication.
- Support both in-person and virtual meetings, including coordinating invitations, reserving conference rooms, preparing presentation materials, consolidating notes, and escorting visitors as necessary.
- Develop and assess programmatic and technical documentation, including letters of agreement, Memorandum of Understandings, Mission Needs Statements, requirements documentation, system specifications, and training materials.
- Oversee the input and tracking of paperwork and administrative actions necessary for personnel in-processing and out-processing.
Minimum Qualifications:
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Adobe Acrobat.
- Demonstrated experience in a collaborative team environment.
- Exceptional written and verbal communication skills.
- Ability to maintain a flexible schedule, typically requiring 80% in-office work and 20% telework, subject to change based on operational needs.
- Security Clearance Eligibility: SECRET REQUIRED
Preferred Qualifications:
- Familiarity with Army aviation systems.
- Knowledge of AR 25-50, Preparing and Managing Correspondence.
- Experience in managing multiple calendars and coordinating meetings.
- Experience within a PEO Office.
Education and Experience Requirements:
- Minimum Education: Bachelor's Degree
- Minimum Experience: 7 years in a relevant functional area
- Alternative Education and Experience: Master's Degree with 5 years; High School Diploma with 11 years
Travel Requirements: May involve travel up to 5%.
Testing: Candidates may be required to complete a written assessment during the interview process to demonstrate written communication abilities and problem-solving skills in hypothetical scenarios.
