Job Description

The Mailroom Clerk is responsible for managing the company's mail operations, including sorting, metering, and processing both incoming and outgoing mail. This role also involves providing customer service, ensuring mail security, and performing tasks such as creating shipping labels and handling money orders.

Key Responsibilities:
  • Sort, collate, and meter incoming and outgoing mail to ensure timely and accurate delivery.
  • Weigh mail to determine the appropriate postage and ensure compliance with postal regulations.
  • Open mail addressed to the office and discard junk mail to maintain a secure and organized mailroom environment.
  • Record and register important mail, ensuring accuracy in documentation and maintaining a reliable mail tracking system.
  • Use fax and scanning machines to manage electronic document transmissions and maintain a paperless workflow.
  • Inspect mail for contraband and ensure compliance with company mail security protocols to protect sensitive information.
  • Time/date stamp all incoming and outgoing mail to maintain a record of mail receipt and dispatch.
  • Assist customers with completing change of address and mail hold forms to provide excellent customer service.
  • Handle the sale of postage stamps and manage money orders, including cashing and issuing, to provide a convenient and secure payment process.
Required Qualifications:
  • High school diploma or equivalent education to demonstrate a strong foundation in basic skills and knowledge.
  • Experience in mailroom operations is a plus, but not required, to demonstrate adaptability and a willingness to learn.
  • Strong organizational skills and attention to detail to maintain a secure and efficient mailroom environment.
  • Ability to handle multiple tasks efficiently and in a timely manner to meet deadlines and ensure timely mail delivery.
  • Basic knowledge of mailroom equipment, such as fax machines and postage meters, to operate and maintain equipment effectively.
Preferred Qualifications:
  • Previous customer service experience to demonstrate excellent communication and interpersonal skills.
  • Familiarity with postal services and mail security procedures to ensure compliance and maintain a secure mailroom environment.
