Key Responsibilities:

  • Process invoices, expense reports, and other financial documents for accuracy and compliance with company policies.
  • Manage accounts payable processes, ensuring timely payments and maintaining vendor relationships.
  • Monitor trust accounts and ensure compliance with regulations, maintaining confidentiality and discretion.
  • Perform data entry tasks with a high level of accuracy and attention to detail, utilizing accounting software and Microsoft Office Suite.
  • Reconcile accounts payable transactions, ensuring accurate and timely payments.
  • Assist in month-end and year-end closing processes, preparing financial reports and statements.
  • Prepare annual 1099 for applicable vendors and quarterly State of Maine use tax returns.
  • Collaborate with attorneys and administrative staff to address financial inquiries and provide support related to accounts payable.
  • Stay updated on industry best practices and changes in regulations affecting accounts payable, ensuring the firm's compliance and accuracy.

Requirements:

  • High school diploma or equivalent; Associate's degree in Accounting or Finance preferred.
  • Proven experience (1-2 years) as an Accounts Payable Clerk or in a related role, with proficiency in using accounting software and Microsoft Office Suite.
  • Strong organizational skills and ability to handle multiple tasks in a fast-paced environment, with excellent communication skills, both written and verbal.
  • Keen eye for detail and accuracy, with understanding of basic accounting principles and ability to work independently and as part of a team.
  • Positive attitude and strong work ethic, with ability to maintain confidentiality and exercise discretion.

Working Conditions:

  • Normal office environment with little exposure to excessive noise, temperature, and the like.
  • Extensive sitting may be required, with occasional lifting of up to 25 pounds or more.
  • Extensive use of keyboards/computer terminals may be required.
  • Occasional exposure to dust is possible, but generally infrequent and of limited duration.
