Position Overview: The Special Inspections Coordinator plays a vital role in efficiently allocating special inspectors to various job sites, ensuring timely and accurate completion of inspection reports, and disseminating these reports to pertinent stakeholders. This position is essential for maintaining effective oversight on job sites and facilitating the seamless operation of the inspection process.

Key Responsibilities:

Inspector Allocation:

  • Assign special inspectors to job sites based on project specifications, inspector qualifications, and availability.
  • Coordinate with inspectors to confirm schedules and resolve any logistical challenges.
  • Monitor and modify assignments as necessary to accommodate changes or urgent situations.

Report Oversight:

  • Supervise the completion of inspection reports, ensuring accuracy, thoroughness, and timely submission.
  • Review reports for completeness and adherence to relevant standards and regulations.
  • Distribute finalized reports to clients, project managers, and other stakeholders as required.

Quality Assurance and Oversight:

  • Ensure that job sites receive appropriate oversight and that inspections are conducted according to established protocols.
  • Address any issues or discrepancies identified during inspections and coordinate corrective measures.
  • Maintain records of inspections and reports to ensure proper documentation and tracking.

Communication and Coordination:

  • Serve as the primary contact for inspectors, clients, and internal teams regarding scheduling and report status.
  • Facilitate clear and effective communication among all parties involved in the inspection process.
  • Provide updates and feedback to management on inspection activities and any arising issues.

Administrative Duties:

  • Maintain and update databases and tracking systems related to inspections and reports.
  • Prepare and manage documentation associated with inspection activities, including contracts, schedules, and correspondence.
  • Assist with any additional administrative tasks as needed to support the department.

Qualifications:

  • Education: High school diploma or equivalent; an associate's or bachelor's degree in a relevant field is preferred.
  • Experience: Previous experience in a dispatching or administrative role, ideally within the construction or inspection sector.
  • Skills:
  • Strong organizational and multitasking capabilities.
  • Excellent communication skills, both written and verbal.
  • Proficiency in using computer software and databases (e.g., Microsoft Office, inspection management systems).
  • Ability to work independently and collaboratively within a team.
  • Strong attention to detail and problem-solving abilities.

Working Conditions:

  • Full-time position with standard working hours; may require occasional overtime or flexibility based on project demands.
  • Hybrid work model – 2 days in office, 3 days remote.
