Position Overview: The Special Inspections Coordinator plays a vital role in the effective allocation of special inspectors to various construction sites. This position ensures that inspection reports are generated accurately and in a timely manner, facilitating their distribution to all relevant parties. The role is essential for maintaining oversight on job sites and ensuring the inspection process operates smoothly.

Key Responsibilities:

Inspector Allocation:

  • Allocate special inspectors to job sites based on project specifications, inspector qualifications, and availability.
  • Coordinate with inspectors to confirm schedules and resolve any logistical challenges.
  • Adjust assignments as necessary to accommodate changes or urgent situations.

Report Oversight:

  • Supervise the preparation of inspection reports, ensuring accuracy, thoroughness, and timely submission.
  • Review reports for completeness and adherence to applicable standards and regulations.
  • Distribute finalized reports to clients, project managers, and other stakeholders as needed.

Quality Assurance and Oversight:

  • Ensure that job sites receive adequate oversight and that inspections are performed according to established guidelines.
  • Address any issues or discrepancies noted during inspections and coordinate necessary corrective actions.
  • Maintain comprehensive records of inspections and reports for proper documentation and tracking.

Communication and Coordination:

  • Serve as the primary liaison for inspectors, clients, and internal teams regarding scheduling and report status.
  • Facilitate effective communication among all parties involved in the inspection process.
  • Provide management with updates and feedback on inspection activities and any arising issues.

Administrative Duties:

  • Maintain and update databases and tracking systems related to inspections and reports.
  • Prepare and manage documentation pertinent to inspection activities, including contracts, schedules, and correspondence.
  • Assist with additional administrative tasks as required to support the department.

Qualifications:

  • Education: High school diploma or equivalent; an associate's or bachelor's degree in a relevant field is preferred.
  • Experience: Previous experience in a dispatching or administrative capacity, ideally within the construction or inspection sector.
  • Skills:
  • Strong organizational and multitasking capabilities.
  • Excellent verbal and written communication skills.
  • Proficiency in computer software and databases (e.g., Microsoft Office, inspection management systems).
  • Ability to work independently as well as collaboratively within a team.
  • Strong attention to detail and adept problem-solving skills.

Working Conditions:

  • This is a full-time position with standard working hours; occasional overtime or flexibility may be required based on project demands.
