Job Overview

Position Summary

The Financial Operations Accountant will oversee the accurate posting and processing of financial transactions, ensuring the integrity of financial records and reports. This role involves performing account reconciliations, managing accounts payable documentation, and supporting payroll administration tasks.

Key Responsibilities

Accounts Receivable Functions:

  • Manage invoicing for grants and research services.
  • Track outstanding balances for grants and research accounts, conducting follow-ups as necessary.

Preparation Assistance for:

  • Monthly financial and cost analysis reports.
  • Audit documentation.
  • Annual corporate budgets.
  • Budgets for grants and research studies, including negotiation processes.

Invoicing Duties:

  • Organize and verify vendor invoices, resolving discrepancies when they arise.
  • Assign appropriate general ledger codes to invoices.
  • Calculate rates for purchases and ensure prompt payment discounts are utilized.
  • Reconcile billed items with received items, addressing any differences through vendor and employee communication.
  • Ensure compliance with the defined invoice approval workflow.
  • Monitor the status of submitted invoices.
  • Upload invoices into the financial management system.
  • Process invoices not captured through the automated system.

Additional Financial Processes:

  • Manage vendor relationships.
  • Post and balance general ledger entries, including recording deposits and reconciling transactions.
  • Process ACH or wire transfers in line with organizational policies.
  • Validate payroll data submissions, including time and attendance reconciliations, pay data entry, and employee expense reimbursements.
  • Assist with accounts payable processes as required.
  • Oversee the company credit card program, including statement reconciliations and staff training on coding and approvals.
  • Perform other administrative and clerical tasks as assigned within the Finance Department.

Qualifications

A minimum of a Bachelor's Degree in Accounting or a related discipline, or 10 years of relevant experience in accounting or full-charge bookkeeping.

At least 3 to 5 years of prior experience in a similar role.

Proficiency in computer systems and applications, including Windows, Microsoft Office, and accounting software such as Sage or similar platforms.

Familiarity with generally accepted accounting principles.
