JOB OVERVIEW

Wood is on the lookout for a Regional Bid Manager to join our Operations Americas division. This pivotal role encompasses regional oversight for sectors including Oil & Gas (both onshore and offshore), Conventional Power, and Industrial projects, focusing on small-scale construction, operational maintenance, and brownfield engineering. The geographical scope includes the United States, Canada, and Latin America. This position is based in our office in Houston, TX.

ROLE RESPONSIBILITIES

KEY ACCOUNTABILITIES & DUTIES

Success metrics include:

  • Enhanced success rates within the respective sectors
  • Increased engagement with the Proposal Shared Service Center (PSSC)
  • Sales-oriented, capable of identifying and executing client-focused winning strategies
  • Ensuring adequate support for the business
  • Highly organized, adept at managing multiple concurrent tasks, engaging with various stakeholders, and supervising the proposal team
  • Guaranteeing the quality of proposals, presentations, and other client communications
  • Conducting proposal audits to ensure adherence to processes and incorporation of best practices
  • Augmented repository of standardized content for the respective Business Unit in the Knowledge Hub

Summary of responsibilities includes:

  • Establishing a standardized proposal process for all Business Units across Operations Americas, including the US, Brazil, Trinidad and Tobago, Guyana, and Canada
  • Collaborating with the Business Unit and proposals team to strategize, lead, and manage proposals of varying scales, presentations, and other external sales initiatives; ensuring compliance with established winning strategies and the quality of final documents
  • Promoting the sale of Wood Solutions - Encouraging and facilitating cross-selling of services across all markets
  • Maintaining an updated list of all active proposals, pre-qualifications, and other client communications with status and submission timelines for the assigned business
  • Contributing to the ongoing enhancement of proposal procedures and methodologies
  • Assuming full ownership of proposal development and related support processes, including written proposals, oral presentations, Best and Final Offers, Evaluation Notices, and Final Proposal Revisions
  • Ensuring compliance with Tender Governance Policy gates during pursuit and proposal development
  • Assisting the Proposals Director in reviewing past proposals for businesses within the Business Unit
  • Providing training on the proposal process and best practices for all proposal team members and major stakeholders
  • Overseeing the production of proposals of all sizes/types and other client communications (including pre-qualifications, expressions of interest, presentations, etc.) to ensure compliance and timely delivery. This role collaborates with capture management, subject matter experts, and proposal staff to write, edit, review, and produce successful proposals
  • Proactively managing a team with diverse skills and functions, including Wood management, Capture Manager, Technical Lead/Project Manager, volume/section leads, authors, subject matter experts, Legal, Estimating, Commercial, and small business
  • Ensuring that customer requirements are thoroughly met, which involves researching relevant materials and drafting project summaries, resumes of project personnel, and other supporting sections of the proposal as needed. Utilizing existing archived proposal information
  • Taking on the role of Proposal Lead or Proposal Coordinator as necessary for strategic pursuits and key opportunities, or as required due to workload demands

Key tasks include:

  • Assessing the Request for Proposal and customer requirements/evaluation criteria
  • Developing and implementing the proposal management plan (responsibility/compliance matrix)
  • Creating and executing the proposal schedule
  • Leading proposal kick-off and review meetings
  • Overseeing and/or expediting proposal processes: information gathering, data entry, formatting, editing, reviews, reproduction, and delivery
  • Assisting business development managers in managing contract, tax, and insurance requirements
  • Coordinating with proposal stakeholders to ensure timely delivery of outstanding proposal components
  • Ensuring consistency and compliance with branding for all client communications
  • Preparing post-bid submissions and organizing responses to requests for clarification
  • Managing the development of client presentations (pre-proposal or post-proposal)
  • Participating in color/management team reviews
  • Staying updated on all solicitation modifications/Q&A and communicating them to the team; revising schedules, outlines, and proposal management plans as necessary throughout the proposal lifecycle
  • Reviewing and analyzing proposal sections for consistency, clarity, compliance with solicitation requirements, and alignment with proposed solutions, and revising as necessary to ensure high-quality, winning proposals
  • Finalizing proposals and other client communications for submission. Submitting responses as directed by customer instructions (email, hard copy, electronic procurement site, etc.)
  • Overseeing graphic designers to create compelling proposal graphics that effectively convey concepts and proposed solutions
  • Providing oversight in organizing general proposal files, resources, and boilerplate for efficient retrieval of information for proposal purposes. Compiling sales, marketing, and technical information for proposal use
  • Final oversight of client communications (proposals, pre-qualifications, requests for information, and presentations) to ensure quality, compliance, and incorporation of best practices
  • Managing proposal budgets and monitoring proposal expenditures as required
  • Assisting in maintaining CRM opportunities during the proposal stage, including updating Pursuit Status, Revenue, Workhours, Work split, Lead Review date, Approval to Prepare date, and Approval to Submit date
  • Adhering to Wood's Code of Business Conduct, Anti-Bribery and Corruption policies, and mandatory procedures
  • Managing Proposal Leads and Coordinators for their assigned segment of the business, including workload coordination, quality assurance, and clarity of expectations and goals
  • Evaluating the job performance of Proposal Leads and Proposal Coordinators within the respective business
  • Ensuring the integration of proposal best practices into all client communications for the respective business
  • Supporting pre-proposal positioning and proposal development strategies, including the creation of capture plans and facilitation of strategy sessions to develop winning strategies and value propositions for proposals


QUALIFICATIONS

Required Qualifications:
  • Bachelor's Degree from an accredited institution in Business, Marketing, Communications, Journalism, or related fields
  • A minimum of eight (8) years of proposal experience with similar organizations
Knowledge, Skills, and Experience:
  • Technical and/or engineering experience is preferred but not mandatory
  • Comprehensive understanding of industry best practices and proposal/marketing techniques
  • Experience in the relevant industry is preferred but not essential
  • Possess extensive management skills and knowledge in the field of expertise to ensure functional areas perform as expected and comply with internal and external policies
  • Ability to manage projects, interface with customer representatives, interpret requirements, manage expectations, plan workloads, organize proposal team resources, and meet deadlines
  • Strong proofreading, editing, and business software skills (style, format, grammar, etc.)
  • Proficient in Microsoft Word, Excel, PowerPoint, and Adobe Acrobat; familiarity with SharePoint and InDesign is desirable
