Position Overview
The Commonwealth of Virginia is seeking a dedicated individual to fulfill the role of Marketing Administrative Assistant within the Office of International Marketing. This position is essential in supporting the Managing Director and involves a variety of responsibilities aimed at enhancing the efficiency of international marketing initiatives.
Key Responsibilities
- Monitor and document all international marketing efforts, contracts, and associated expenses.
- Act as the primary liaison for Office personnel and international trade offices.
- Review, edit, and prepare documents for various marketing activities.
- Coordinate travel arrangements and manage procurement of office supplies, including handling related vouchers and requisitions.
- Maintain organized filing systems and assist with entry-level marketing tasks such as conducting basic market research and preparing presentations and marketing materials.
Upon successful onboarding, this role may offer opportunities for telework, subject to approval in accordance with the Commonwealth's telework policy.
Essential Qualifications
Applicants should possess a comprehensive understanding of office administration and financial procedures, alongside foundational knowledge of marketing principles. Strong customer service skills and effective oral and written communication abilities are crucial, particularly in drafting clear and concise documents. Candidates must demonstrate the capacity to manage diverse responsibilities, prioritize tasks effectively, and interpret and apply relevant policies and procedures independently.
Additional Skills
Proficiency in the MS Office Suite is required, along with the ability to conduct market research and create presentations and marketing materials. A high school diploma or GED is mandatory.
Preferred Experience
Experience in a similar administrative environment is advantageous, particularly in managing multiple priorities, organizing travel plans, and procuring office supplies. The ideal candidate will have a proven track record of working independently to oversee workflow, special projects, and coordination among various stakeholders, while also providing exceptional customer service across different levels of an organization.
