Program Administration Specialist

We are seeking an experienced and dedicated individual to serve as our Program Manager for the Kansas Youth Advisory Council (KYAC). This role is responsible for administering the daily activities of KYAC, a program designed to empower youth by providing them with a structured platform to offer advice and recommendations on child welfare systems in Kansas and nationally.
Key Responsibilities- Coordinate the Kansas Youth Advisory Council (KYAC)
- Collaborate with regional youth advisory councils to promote mutual understanding and coordination
- Foster relationships with CWCMPs, Independent Living Programs, and other organizations supporting youth in foster care to increase awareness and engagement with KYAC
- Manage and develop content for KYAC social media accounts to enhance online presence and communication
- Organize the annual KYAC Summer Conference, including speaker selection, registration management, agenda development, and other logistical arrangements
- Work collaboratively with internal youth program specialists to implement projects and initiatives that benefit KYAC members
- Develop a comprehensive recruitment plan for the KYAC youth board, incorporating various strategies to attract diverse candidates
- Design and disseminate recruitment materials for the youth board to ensure effective outreach and communication
- Respond promptly to KYAC inquiries within 72 hours and maintain accurate records of all contacts
- Review and update the KYAC handbook to ensure it remains relevant and informative
- Facilitate strategic planning sessions to establish an annual workplan for KYAC
- Host regular KYAC meetings and facilitate discussions among members
- Provide orientation for new KYAC members to ensure their smooth integration into the council
- Attend monthly meetings with DCF representatives to report on progress and address concerns
- Organize special events and community service projects to engage KYAC members and foster teamwork
- Prepare and train youth for participation in state and local meetings to build their confidence and leadership skills
- Serve as a liaison between DCF and KYAC members to facilitate timely payment and resolve any issues
- Participate in workgroups and meetings to support KYAC initiatives and contribute to its growth
- Develop educational and training opportunities for KYAC members to enhance their knowledge and skills
- Monitor and submit program and fiscal reports monthly to track progress and identify areas for improvement
- Interpret and apply governance, operational, and department/program policies effectively
- Maintain adherence to and support all governance, operational, and department/program policies
- Conduct interviews and assist with the selection of new employees in collaboration with Human Resources
- Oversee the onboarding process for new hires, ensuring they receive adequate training on program policy, procedure, expectations, and regulatory standards
- Employ retention strategies to foster a positive work environment
- Assist in agency recruitment efforts by referring and recruiting applicants
- Strive to build a strong team within the department, implementing trauma-informed care supervision practices as needed
- Ensure frontline staff receive necessary support and resources
- Hold regular one-on-one meetings with employees, as per policy
- Provide direct supervision to assigned staff at regular intervals
- Evaluate employee performance using the agency's performance management system
- Maintain regular contact with supervisor
- Pursue ongoing professional development and training
- Approve timesheets and expenses for employees, ensuring reimbursement follows policy standards
- Represent DCCCA at events, presentations, and both internal and external meetings
- Maintain good working relationships and facilitate productive communication among factions
- Maintain confidentiality using sound professional judgment
- Create a safe environment by performing required security and safety procedures
- Adhere to a drug-free workplace, supporting a safe and healthy environment conducive to ongoing recovery
- This role may require regular driving to various DCCCA locations and other business locations throughout the day, including early morning or evening hours
- A bachelor's degree or equivalent experience is required
- Experience working with youth is essential
- A valid state Driver's License, in-force automobile liability insurance, and a Motor Vehicle Record (MVR) meeting organization insurability standards as defined by DCCCA policy are mandatory. Reliable transportation is a must for this position
Salary: $60,000 - $80,000 per annum, depending on experience and qualifications.
Location: Kansas.
The estimated salary range is based on industry standards, job requirements, and location considerations.
