Position Overview:
We are looking for a full-time Event Services Coordinator to join our Operations team. This role will report directly to the General Manager and play a vital part in enhancing our meeting and event services.
Key Responsibilities:
The Event Services Coordinator will assist in various facets of our meeting and event offerings, ensuring alignment with Convene's mission and core values. Responsibilities include:
- Overseeing the coordination of program setup and execution in collaboration with cross-functional teams, including Service, Production, Technology, and Culinary.
- Collaborating with Culinary and Service teams to facilitate the setup and execution of Food & Beverage in accordance with client specifications.
- Supporting the front-of-house service team, assisting with tasks such as setup, event execution, breakdown, and maintenance.
- Welcoming guests upon arrival, ensuring a friendly and service-oriented atmosphere.
- Managing guest check-ins and addressing inquiries at the welcome desk.
- Coordinating with the Operations Team on reservations, catering orders, and other logistical requests.
- Maintaining effective communication with all levels of staff and clients, demonstrating our values in every interaction.
- Ensuring the Welcome Desk and coat room are organized and well-stocked.
- Facilitating positive client relationships and assisting with administrative tasks as needed.
- Ordering supplies and managing lost and found items.
- Assisting with service execution during peak periods and ensuring compliance with health and safety standards.
- Utilizing various platforms for operational tasks, including Salesforce, ProxyClick, and Microsoft Office.
Qualifications:
We seek candidates with a minimum of 2 years of experience in the hospitality sector, who possess:
- Strong client engagement skills.
- Flexibility to work extended hours when necessary.
- Physical capability to lift and move objects up to 25 pounds.
- The ability to stand, sit, or walk for prolonged periods.
Compensation:
The role offers a competitive starting hourly rate, along with eligibility for an annual performance bonus. Compensation may vary based on location and individual qualifications.
