Job Summary

We are seeking an experienced Accounts Payable Specialist to join our Costa Mesa office. The successful candidate will be responsible for the payment of goods and services purchased by the organization, ensuring accurate invoicing and proper accounting procedures.

Key Responsibilities
  • Process invoices into the computer system
  • Open mail daily and process check requests, garnishments, and tax payments
  • Communicate with coworkers, management, clients, and vendors regarding purchases
  • Reconcile processed work by verifying entries and comparing system reports to balances
  • Maintain historical records and pay employees by verifying expense reports and preparing checks
  • Paying vendors by scheduling checks and ensuring payment is received for outstanding credit
  • Prepare analyses of accounts and produce monthly reports
  • Continuously improve the payment process and code invoices, vouchers, expense reports, and check requests with correct codes
  • Handle vendor correspondence via phone or email and match purchase orders to incoming invoices with supporting documentation
  • Investigate and resolve problems associated with processing invoices and track unentered invoices by reason
  • Process payments via check and credit card and deposit accounts receivable payments into the company's bank account
  • Assist with monthly status reports, accruals, and monthly closings and reconcile various accounts by identifying errors in posting or omissions
Requirements
  • Bachelor's Degree in a related field or equivalent years of experience
  • 5 to 10 years' experience in AP
  • Inter-company transactions experience
  • GL CODING experience
  • Excellent communication skills (verbal, written, and presentation)
  • Availability and willingness to travel
Physical Requirements

Sedentary for prolonged periods of time, interact with clients, and travel occasionally
