Administrative Assistant to the Clerk of the Board

Job Summary
The Metropolitan Water Reclamation District of Greater Chicago is seeking a highly skilled and detail-oriented Administrative Assistant to support the Clerk of the Board. This individual will provide administrative support for the formal meetings of the governing board, serving as a liaison between the organization and the board.
Key Responsibilities
- Acts as record keeper of the Board of Commissioners, preparing and publishing agendas, agenda packets, meeting minutes, live video stream, and proceedings records.
- Administers the Live Manager solution during board meetings, assisting the BOC President or presiding Chairperson with taking and tallying votes, recording results, and adhering to basic parliamentary procedures.
- Maintains the District's InSite Webpage by reconciling yearly compilations of BOC meeting proceedings, annual financial reports, and quarterly P-card reports.
- Provides new Board members and their aides with training on meeting and agenda procedures and responds to their questions and requests.
- Attests and ensures that audit reports, budgets, tax levies, ordinances, and bond issuance notification act documents are filed and published in accordance with all statute, regulation, and policy guidelines.
- Acts as keeper of the District seal.
- Supervises the records disposal process to ensure accurate and timely filing and destruction of District documents.
Requirements
Possession of a bachelor's degree from an accredited four-year college or university and three years of experience providing administrative support for the formal meetings of a governing board or other political body and otherwise functioning as liaison of the organization to that board.
Substitution
Additional administrative experience supporting the formal meetings of a governing board or other political body and otherwise functioning as liaison of the organization to that board may be substituted for the required education on a year-for-year basis.
