Job Summary

We are seeking a highly organized and detail-oriented Clinical Administrative Assistant to support our nursing department. This role is essential in ensuring smooth daily operations and providing administrative support to our nursing staff.

Key Responsibilities:
  • Staff Scheduling: Create and manage the nursing staff schedule, ensuring adequate coverage for all shifts.
  • Time Off Coordination: Handle time off requests and call-outs, ensuring consistent staff coverage.
  • Agency Coordination: Collaborate with outside agencies to fill open shifts and communicate schedule changes promptly.
  • Administrative Support: Assist the nursing department with projects, take meeting minutes, and manage related tasks.
  • Documentation Management: Review and update nursing department logs, lists, and forms, such as shower lists, bed rail logs, and other resident information in the quick information binder.
  • Policy and Procedure Updates: Review and update nursing department policy and procedure manuals as directed.
  • Data Entry: Enter and maintain sensitive resident information and other data into the computer system.
  • Staff Education Tracking: Enter and track mandatory yearly staff education and ensure education hours are recorded. Assist the Assistant Director of Nursing with scheduling and monitoring attendance.
  • Resident Data Management: Update resident information in Point Click Care, and manage access for new hires.
  • Clinic Coordination: Work with the Director of Nursing to organize resident clinics, such as Foot Care and Vaccination clinics.
  • Reference Requests: Support the nursing department in obtaining reference requests for RCA/LNA's.
Qualifications:
  • Associate degree or minimum of 5 years of office experience.
  • Excellent computer skills, with proficiency in data entry and management software.
  • Strong organizational and problem-solving abilities.
  • Professionalism and excellent communication skills.
  • Ability to analyze information and maintain confidentiality.
  • Prior experience in healthcare administration, especially in assisted living, is preferred.
