Administrative Coordinator

The Front Office Assistant is responsible for providing exceptional customer service to patients, visitors, and staff while maintaining the highest level of professionalism. This role involves managing appointment scheduling, verifying patient eligibility, and handling phone calls with poise and professionalism. Additionally, the successful candidate will be responsible for maintaining a clean and organized reception area, patient waiting area, and office files. They will also ensure that all patients receive exceptional customer service while maintaining the highest level of professionalism.
Responsibilities
* Manage appointment scheduling to optimize patient satisfaction, provider time, and exam room utilization* Verify patient eligibility for medical insurance coverage and handle related administrative tasks* Handle phone calls with poise and professionalism, directing them appropriately and offering voicemail, paging, or call redirection when necessary* Maintain a clean and organized reception area, patient waiting area, and office files* Monitor inventory levels of medical office supplies, place orders, and oversee office equipment maintenance* Ensure appointment schedules run smoothly by verifying patient insurance benefits before appointments, sending reminders, registering and checking in patients promptly, preparing necessary documents, and managing late arrivals by rescheduling or adjusting as needed* Ease patient anxiety by offering reassurance, answering questions, and maintaining a clean and welcoming reception area* Ensure access to treatment information by organizing and retrieving patient records efficiently* Update and maintain patient accounts, including demographic and insurance information in the electronic health records system* Keep accurate financial records by updating patient financial data, recording charges, and providing receipts for payments* Support preventative care by reminding patients of upcoming preventative exams and screenings* Assist patients in distress by responding quickly and calmly to emergencies* Safeguard patient privacy by strictly adhering to HIPAA regulations to protect personal and financial information* Assist in training and orienting new staff members as needed* Interact with Tribal members and the public in a courteous, professional, and efficient manner* Demonstrate dedication to providing the highest quality of patient care* Deliver exceptional customer service to clients and vendors of Three Rivers Health Center* Other duties as directed by management
Requirements
This position requires a highly organized and detail-oriented individual who is able to multitask, prioritize tasks, and maintain confidentiality. The ideal candidate will have experience in customer service or reception, preferably in a medical office setting, and possess strong communication skills. Proficiency in medical terminology, organizational services, and staff responsibilities is also essential. Additionally, the candidate should be skilled in operating a multi-line phone system, including call transfers and paging, and have a basic understanding of spreadsheet and word processing software, including Microsoft Office (Word, Excel, PowerPoint) and practice management software. The ability to exercise diplomacy and tact while multitasking, organizing, and scheduling patient appointments is also required. A flexible schedule and willingness to work evening shifts as needed are also essential.
