Job Title: Title Clerk

Department: Accounting

Reports to: Controller

FLSA Status: Non-Exempt

Position Overview: The Title Clerk is responsible for managing vehicle transactions, ensuring accurate cost verification, and preparing essential legal documents for the Department of Motor Vehicles (DMV).

Key Responsibilities:
  • Generate and organize tax and title documentation.
  • Collaborate with local and out-of-state DMV offices to streamline the titling process.
  • Input inventory data and create stock deal jackets.
  • Receive and manage paperwork from the Finance and Insurance (F&I) department.
  • Issue purchase checks for wholesale and auction vehicles as necessary.
  • Record vehicle sales and acquisitions accurately.
  • Prepare documentation for trade-in vehicles.
  • Maintain up-to-date name and address records consistently.
  • Ensure timely dispatch of title and registration documents to clients.
  • File liens on contracted vehicles promptly.

Education & Experience:

A high school diploma or equivalent (GED) is required, along with one to two years of relevant experience or training, or a suitable combination of education and experience.

Language Proficiency:

Ability to read and interpret documents such as sales agreements, tax and title paperwork, and procedural manuals. Proficient in writing routine reports and correspondence. Capable of effectively presenting information in individual and small group settings to customers, colleagues, and the public.

Mathematical Proficiency:

Ability to perform calculations involving discounts, interest, commissions, and percentages. Capable of applying concepts such as fractions, percentages, ratios, and proportions to practical scenarios.

Reasoning Skills:

Ability to apply common sense to follow instructions provided in written or verbal form. Competent in addressing problems involving multiple concrete variables in standardized situations.

Certificates, Licenses, & Registrations:

A current, valid driver's license and a satisfactory Motor Vehicle Report (MVR) are mandatory. Candidates must successfully pass a drug screening and background investigation.
