Property Management Assistant

Job Overview:

The Assistant Property Manager collaborates with the Property Manager and General Manager to oversee and guide the activities of building personnel and service providers, ensuring adherence to established policies and procedures.

KEY RESPONSIBILITIES

  • Contributes to the development of financial and management reports, monitors receivables, and facilitates default processes.
  • Aids in tracking operational expenditures and capital budgets, and manages operating expense recoveries and adjustments.
  • Fosters effective collaboration with both internal and external teams.
  • Prepares necessary reports, proposals, and presentations.
  • Engages with maintenance personnel to formulate a comprehensive 5-year capital strategy.
  • Participates in the Customer Service Tenant Satisfaction survey initiative.
  • Monitors the advancement of goals, objectives, timelines, and budgets, generating status reports as needed.
  • Supervises facility operations, including maintenance programs, vendor agreements, building inspections, construction administration, emergency preparedness, and compliance with regulations.
  • Coordinates lease administration tasks with the Property Manager and General Manager.
  • Oversees housekeeping and janitorial operations.
  • Handles all necessary administrative and operational functions.
  • Undertakes additional duties and special projects as assigned.

QUALIFICATIONS

Experience: A minimum of one to three years of practical experience in real estate management, particularly in medical office environments is preferred.

Education: A high school diploma or GED is required; a BA or BS degree is preferred.

Additional Requirements:

  • Proven knowledge of accounting principles and practices, ideally within the real estate sector.
  • Proficient in MS Office applications (particularly Word and Excel) and accounting software.
  • Excellent communication and customer service abilities, both verbal and written.
  • Capable of exercising sound judgment in the absence of supervisory personnel.
  • Detail-oriented with a strong mathematical aptitude.
  • Able to organize and prioritize tasks for accuracy and timely completion, with the capacity to manage multiple tasks simultaneously.
  • Willingness to travel 5-10% annually.
