Overview
Under the supervision of the Lieutenant for the Special Services Division, the Asset Management Coordinator will support the procurement, reception, labeling, and documentation of fixed asset items within the Sheriff's Office, thereby ensuring a comprehensive, precise, and current inventory record. This role will also necessitate collaboration with personnel from the Auditor's Office to develop a compatible system that serves both departments effectively. A strong work ethic is essential for this position. The Asset Management Coordinator must adhere to instructions, meet timelines, maintain excellent attendance, demonstrate punctuality, ensure safety, and exhibit reliability, honesty, and integrity. The individual must be capable of making sound, accurate, and timely decisions while managing appropriate risks. An adaptable self-starter is required for this role.

Key Responsibilities:
  • Oversees the care, custody, and inventory management of all property held by the Hays County Sheriff's Office.
  • Assists the Budget Coordinator in maintaining financial records and inventory strategies as directed.
  • Ensures adequate supplies and support materials are available.
  • Acts as the central distribution point for the issuance of property and equipment within the Sheriff's Office.
  • Conducts necessary investigations to identify the best suppliers for required equipment and supplies upon request from Bureau command.
  • May prepare purchase order requests for the Budget Coordinator's approval.
  • Implements backup procedures for files and prepares reports and documentation as needed.
  • Collaborates with the Hays County Purchasing and Audit departments regarding the transfer and auction of obsolete and used equipment.
  • Initiates and conducts the annual inventory audit for the Sheriff's Office.
  • Maintains records and serves as the coordinator for the Sheriff's Office Accident Review Board.
  • Must be able to provide credible testimony in any court proceedings, including Justice Courts, County Courts, District Courts, and U.S. Federal Court.
  • Performs additional duties as assigned.

Required Knowledge:
  • Understanding of accounting principles.
  • Familiarity with basic bookkeeping or record-keeping procedures.
  • Knowledge of basic law enforcement protocols (preferred).

Required Skills:
  • Proficiency in applying bookkeeping procedures.
  • Ability to operate personal computers and related equipment.
  • Typing skills at a rate of 50 words per minute (preferred).
  • Competence in using spreadsheet software.
  • Effective verbal and written communication skills.
  • Aptitude for processing large volumes of numerical data.
  • Capability to perform basic mathematical calculations.
  • Skill in classifying financial data and compiling reports.
  • Ability to analyze, prepare, check, and balance routine financial transactions and accounts.
  • Capacity to resolve problems or situations requiring sound judgment.
  • Ability to establish and maintain positive working relationships with other county employees and the public.
  • Ability to work independently with minimal supervision.

Education and Experience:
  • Any combination of experience or training may be substituted on a year-for-year basis.
  • High school diploma or GED.
  • Three years of experience in inventory management or control.

Other Qualifications:
  • Current Class C Texas Driver's License.
  • Bilingual skills (Spanish and English) preferred.

Emotional Demands:
This position requires handling stress associated with interactions with the general public and Hays County Departments. The Asset Management Coordinator will engage with contacts in structured settings at Hays County facilities. While contacts are generally cooperative, this role necessitates obtaining, clarifying, or providing information to county employees and members of the public.
