Position Overview:


The primary role of the Parts Coordinator is to ensure an outstanding customer experience by effectively managing the lifecycle of automotive parts associated with repair orders. This includes the ordering, receiving, storing, and distribution of parts, as well as handling returns.


Key Responsibilities:
  • Implement the WOW (Wow Operating Way) strategy consistently.
  • Facilitate communication regarding customer requirements with relevant team members.
  • Collaborate with suppliers to procure and receive parts as specified in repair orders, ensuring quality and accuracy.
  • Oversee the timely distribution of parts to the shop, aligned with the production schedule.
  • Input all parts invoices into the designated Management Information System (MIS).
  • Label and monitor parts by Repair Order number, ensuring they are stored with the corresponding vehicle.
  • Notify team members of any Parts Price Changes (PPI).
  • Order and track supplemental parts in the MIS, evaluating vendor performance.
  • Conduct daily reconciliations of parts vendor invoices.
  • Ensure timely posting and filing of invoices and credit memos.
  • Verify that vendor invoices reflect the correct negotiated discounts to uphold profit margins.

Qualifications:
  • High School Diploma or equivalent.
  • 1-3+ years of experience in automotive parts management (experience with auto body parts is advantageous).
  • Strong customer service orientation with excellent organizational skills.
  • Ability to thrive under pressure and manage competing priorities.
  • I-Car Registered (working towards Gold Class certification).

Required Skills:
  • Effective verbal and written communication skills.
  • Meticulous attention to detail and accuracy.
  • Adept at managing a fast-paced environment with strong multitasking capabilities.
  • Familiarity with vehicle repair practices.
  • Proficient in Management Information Systems such as Summit and Repair Centre.
  • Knowledge of parts sourcing platforms like Car-part, Progi, APU, and LKQ B2B.
  • Solid problem-solving skills and above-average computer proficiency.
  • Strong organizational abilities.
  • Capability to collaborate effectively with team members to achieve common objectives.

Physical Requirements:


Must be able to frequently bend, crouch, reach, and handle tools, as well as lift materials exceeding 50 lbs.
