Position Overview:
The primary role of the Parts Coordinator is to ensure a seamless and efficient customer experience by overseeing the entire lifecycle of parts management for repair orders. This includes ordering, receiving, storing, and distributing parts while maintaining high standards of accuracy and quality.
Key Responsibilities:
- Implement the WOW (Wow Operating Way) strategy consistently.
- Facilitate communication regarding customer requirements with relevant team members.
- Collaborate with suppliers to procure and verify parts as specified in repair orders, ensuring the correct quality and quantity.
- Distribute parts to the workshop promptly, adhering to the production timeline.
- Input all parts invoices into the designated Management Information System (MIS).
- Label and monitor parts by Repair Order number, ensuring they are stored with the corresponding vehicle and repairs.
- Notify team members of any Parts Price Changes (PPI).
- Order and track supplemental parts in the MIS, assessing vendor performance.
- Reconcile daily parts vendor invoices accurately.
- Ensure timely posting and filing of invoices and credit memos.
- Verify that vendor invoices reflect the correct negotiated discounts to uphold profit margins.
Qualifications:
- High School Diploma or equivalent.
- 1-3+ years of experience in automotive parts management (experience with auto body parts is advantageous).
- Strong customer service orientation and exceptional organizational skills.
- Ability to manage competing demands and prioritize effectively.
- Initiative in problem-solving scenarios.
- I-Car Registered (working towards Gold Class certification).
Required Skills:
- Effective verbal and written communication skills.
- Meticulous attention to detail and accuracy.
- Adept at multitasking in a fast-paced environment.
- Familiarity with vehicle repair practices.
- Proficient in Management Information Systems, including Summit and Repair Centre.
- Knowledge of parts sourcing platforms such as Car-part, Progi, APU, and LKQ B2B.
- Strong problem-solving capabilities and above-average computer skills.
- Excellent organizational abilities.
- Capacity to thrive in a dynamic work setting and collaborate towards common objectives.
Physical Requirements:
Regularly required to bend, crouch, reach, and handle tools. Must be able to lift materials exceeding 50 lbs.
