Job Summary

This is an AFSCME represented position. The City participates in the Public Employees Retirement System (PERS). This posting will be open until filled or further notice.

Key Responsibilities
  • Provide technical, complex, and specialized office support to the Legal department and/or programs.
  • Work independently under broad guidelines and handle a wide variety of situations.
  • Apply detailed organizational or program knowledge to make decisions and take actions.
  • Learn technical and specialized rules, regulations, policies, procedures, and activities related to the department.
  • Compose, type, and prepare correspondence, memoranda, reports, forms, and other documents.
  • Monitor and maintain departmental and/or project expenditures.
  • Process and track purchase orders and invoices.
  • Collect fees, fines, and other monies via cash and/or debit/credit card.
  • Update and maintain the department or program's section of the City website and/or intranet.
  • Provide information and services to City departments and staff, various agencies and organizations, as well as the general public.
  • Maintain calendars and schedules of activities, meetings, and various events for department staff.
  • Create, prepare, and maintain a variety of records, logs, and files.
  • Prepare and coordinate travel arrangements for staff and maintain records of travel itineraries.
  • Attend meetings, record meeting proceedings, and prepare minutes as assigned.
  • Answer, screen, and direct phone calls; take messages and refer callers to appropriate departments and/or staff.
  • Receive and assist guests with questions, as well as requests for information and forms.
  • Prepare outgoing mail; review and distribute incoming mail, discard items not requiring supervisor or staff review.
  • Requisition office supplies to maintain an adequate stock.
  • Keep supervisor and department staff informed of significant and important matters requiring review or action.
Requirements
  • Must be at least 18 years of age.
  • Graduation from high school or equivalent.
  • Three (3) years of increasingly responsible office, receptionist, and clerical experience.
  • Valid Washington State driver's license.
