Position Overview:
Jewish Family Service is seeking a dedicated and empathetic individual to join our Nutrition & Aging Care Services team as a Program Assistant. This role is essential in leveraging your organizational expertise and administrative experience to positively impact the community and enhance lives throughout the region.
The Program Assistant is a vital contributor to the team, providing support to the Senior Director of Nutrition & Aging and four additional directors. Responsibilities include managing invoicing, coordinating meetings, processing mileage reimbursements, and assisting with various program needs.
This position requires collaboration with staff to ensure timely completion of tasks.
Key Responsibilities:
- Process invoices for payment through the accounting system.
- Establish a monthly review process for program budgets with Directors.
- Assist programs with procurement requirements.
- Monitor program contract milestones and reporting obligations.
- Support research and analysis requests from Directors.
- Facilitate weekly Zoom meetings and schedule additional meetings as needed.
- Attend meetings and document minutes.
- Perform administrative tasks for Directors and programs as required.
- Assist in the Corner Market, weekly Drive Thru, and Kitchen as necessary.
- Analyze current processes and provide suggestions for improvement.
- Other duties as assigned by Directors.
Essential Skills and Experience:
- Valid driver's license, insurance, and reliable personal vehicle with a willingness to travel.
- Exceptional strategic, analytical, and critical thinking skills.
- Strong verbal and written communication abilities.
- Creative and innovative mindset, open to new approaches and adaptable in execution.
- Excellent organizational, time management, and prioritization skills.
- Experience in managing processes and systems.
Preferred Qualifications:
- At least one year of experience in an office support role.
Physical Requirements:
Ability to lift up to 20 lbs.
