Financial Administrative Specialist
Overview:
Under the guidance of the Controller/Accounting Administrator, the Financial Administrative Specialist plays a crucial role in managing the general ledger, maintaining financial documentation and reports, executing account reconciliations, aiding in budget preparation and closing processes, conducting internal audits, and fulfilling information requests from management and auditors. This position is pivotal in ensuring adherence to various accounting standards and regulations, including but not limited to: Generally Accepted Accounting Principles (GAAP), Office of Management (OMB) cost principles, and the Code of Federal Regulations (CFR).
Compensation: $22.00 per hour (Non-Exempt)
Key Responsibilities:
- Provide accounting and clerical assistance to the finance department.
- Input Accounts Payable invoices into the MIP accounting system.
- Prepare bank deposits as required.
- Reconcile daily cash transactions with bank activities across multiple accounts, investigating and resolving any discrepancies noted. Review cash receipt and payment posting transactions for correct coding and allocation.
- Examine daily cash receipts for incoming ACH and wire transfers, ensuring deposit totals match supporting documentation. Address discrepancies between actual amounts received and provided support primarily through written and verbal communication with other departments or financial institutions. Post ACH and Wire transactions to the general ledger.
- Maintain templates for expense allocation.
- Organize documents; code, log, and review for accuracy; match supporting invoices to procurement documents; and verify invoices for payment.
- Prepare routine entries and post financial transactions; reconcile entries and internal ledgers with financial reporting system reports.
- Act as a liaison between Department Managers/Program Administrators to coordinate efforts in meeting fiscal year-end deadlines.
- Respond to information requests, review financial statements, and assist with audits.
- Support special projects and perform additional duties as assigned.
- Ensure punctual and regular attendance.

Minimum Qualifications:
- Associate's Degree with a focus in finance, economics, statistics, or business administration, or equivalent experience.
- A minimum of two (2) years' experience in a complex financial support role with responsibilities for budgets, including experience with business analytics and proficiency in Microsoft applications (Word, Excel, and PowerPoint).
- Proven ability to coordinate complex management tasks, work independently, and manage multiple priorities.
- Working knowledge of GAAP.
- Strong numerical and analytical skills.
- Exhibit a positive attitude and professional work ethic when interacting with managers and colleagues.
- Ability to foster a positive team-oriented environment.
- Maintain confidentiality.
- Perform specialized technical and clerical functions effectively.
- Demonstrate organizational skills and produce accurate results while meeting deadlines.
- Manage multiple priorities amidst frequent interruptions.
- Background Fingerprint Clearance.
- Drug Test Clearance.
- At least three years of experience in a financial administrative support role within a similar non-profit organization.
- Demonstrated knowledge of budgetary processes and analysis.
- Experience in developing and implementing administrative policies and procedures.
- Two years of successful experience in a financial setting, including practical experience in tracking and analyzing budget trends, and proficient use of Excel functionalities such as pivot tables and VLOOKUPS.
Licenses & Certifications:
- CA Driver's License, reliable transportation, and current automobile insurance.
