Job Summary:

The Clinical Operations Manager is responsible for supporting daily activities of the team members to ensure all projects are completed on time and in compliance with all standards.

This position is part of the miCare Operations leadership team and works closely with clinical management to execute and direct patient care services.

Key Responsibilities:

  • Coordinate, monitor, assign, and document patient and clinical care activities.
  • Lead and coordinate daily huddles and report updates to the Director of Operations.
  • Ensure follow-through of company policy and procedure.
  • Help manage IT tickets through Entre.
  • Responsible for developing the schedule, managing timecards, and approving time off.
  • Report any concerns to the Director of Operations.
  • Report maintenance/repair issues to the Director of Operations.
  • Keep inventory management within budget.
  • Assist with incoming calls, faxes, referrals, scheduling patient appointments, greeting patients, checking in/checking out of patients, scanning, patient support, and clinic cleanliness.
  • Hiring, onboarding, and training new team members.
  • Using quality assurance testing to determine if staff is meeting facility standards.
  • Report employee or patient concerns to the Director of Operations.
  • Act as the first line of support in helping to resolve issues and problems.
  • Work with the miCare account manager to implement any additions to the clinic requested from the client.
  • Provide timely and thorough follow-up with staff, internal, and external customers.
  • Give input and help develop staff on ways to improve patient care.
  • Develop working relationships with all medical professionals and clinical staff.

Requirements:

  • Graduate of a certified medical assistant program.
  • Minimum of 3 years of clinical experience with experience in public health or clinical office setting.
  • Minimum of 1 year experience managing a team of direct reports, delivering performance feedback, and managing daily schedules of a team.
  • Medical terminology proficiency and demonstrated knowledge on current standards of practice for employees in medical-based clinics.
  • Working knowledge of computers and software, including but not limited to Microsoft Office products.
  • Strong written and oral communication skills and ability to be a liaison between clinical staff and operational leadership.
  • Demonstrated ability to work independently, prioritize workloads, multitask, and manage priorities to meet deadlines.
