We are seeking a highly organized and detail-oriented Financial Services Representative to join our team at Marshall & Sterling Inc. As a key member of our department, you will provide administrative and financial support to staff members, ensuring the smooth operation of our daily activities.

Key Responsibilities:

  • Manage supply ordering, distribution, and inventory to maintain a well-stocked and efficient workspace.
  • Process incoming and outgoing mail, ensuring timely and secure delivery.
  • Handle bank deposits and transactions as needed, maintaining accurate records and adhering to company policies.
  • Utilize scanning technology to efficiently manage documents and maintain a paperless environment.
  • Transmit daily positive pay files to the bank, ensuring timely and accurate processing.
  • Print monthly commission statements from company websites, providing accurate and timely information to staff members.
  • Process daily close day activities, maintaining accurate records and adhering to company procedures.
  • Track daily balances in operating accounts, ensuring timely and accurate reporting.
  • Record direct bill commissions, maintaining accurate records and adhering to company policies.
  • Remit branch company statements and invoices, ensuring timely and accurate processing.
  • Remit operational expenses, maintaining accurate records and adhering to company policies.
  • Process payments in upload accounts from the Poughkeepsie branch, ensuring timely and accurate processing.
  • Assist Financial Service Representatives and Sr. Financial Service Representatives as needed, providing support and guidance to ensure successful outcomes.
  • Maintain professional accreditation necessary to meet agency standards, ensuring compliance and adherence to industry regulations.
  • Participate in continuing education programs when available, enhancing knowledge and skills to stay up-to-date with industry developments.
  • Build and maintain a favorable and professional work relationship with other staff members, fostering a positive and productive work environment.
  • Adhere to established employee manual policies and guidelines, ensuring compliance and adherence to company procedures.
  • Adhere to workflow procedures and follow guidelines to reduce the risk of E&O claims, maintaining a safe and secure work environment.
  • Promptly report all E&O claims and potential E&O claims, ensuring timely and accurate reporting.
  • Maintain confidentiality in all aspects of client, staff, and agency information, upholding the highest standards of professionalism and integrity.
  • Perform other duties and projects as assigned, demonstrating flexibility and adaptability in a fast-paced work environment.

Requirements:

  • College degree preferred, high school diploma or equivalent required.
  • Experience and knowledge of Microsoft Office Programs, with a strong emphasis on proficiency and accuracy.
  • Experience with Vertafore a plus, with a strong understanding of industry-specific software and systems.
  • Ability to work effectively and relate well with others, including superiors, colleagues, and individuals inside and outside the company, in a professional and courteous manner.
  • Demonstrated ability to communicate effectively, both verbally and in writing, with a strong emphasis on clarity and accuracy.
  • High level of organizational ability with attention to detail, ensuring timely and accurate completion of tasks and projects.
