Job Summary

We are seeking a highly organized and detail-oriented Financial Services Representative to join our team at Marshall & Sterling Inc. As a key member of our department, you will provide administrative and financial support to staff members, ensuring the smooth operation of our daily activities.

Key Responsibilities
  • Manage supply ordering, distribution, and inventory to maintain a well-stocked department.
  • Process incoming and outgoing mail, ensuring timely and secure delivery.
  • Handle bank deposits as needed, maintaining accurate records and adhering to financial protocols.
  • Scan and organize documents, maintaining a digital and physical filing system.
  • Transmit daily positive pay files to the bank, ensuring timely and accurate transactions.
  • Print monthly commission statements from company websites, providing accurate and timely financial information.
  • Process daily close day activities, ensuring a smooth transition to the next day.
  • Track daily balances in operating accounts, maintaining accurate financial records.
  • Record direct bill commissions, ensuring accurate and timely financial reporting.
  • Remit branch company statements and invoices, maintaining positive relationships with vendors.
  • Remit operational expenses, ensuring timely and accurate financial transactions.
  • Process payments in upload accounts from the Poughkeepsie branch, maintaining accurate financial records.
  • Assist Financial Service Representatives and Sr. Financial Service Representatives as needed, providing support and guidance.
  • Maintain professional accreditation necessary to meet agency standards, ensuring compliance and excellence.
  • Participate in continuing education programs when available, enhancing knowledge and skills.
  • Build and maintain a favorable and professional work relationship with other staff members, fostering a positive and productive work environment.
  • Adhere to established employee manual policies and guidelines, ensuring compliance and excellence.
  • Adhere to workflow procedures and follow guidelines to reduce the risk of E&O claims, maintaining a safe and secure work environment.
  • Promptly report all E&O claims and potential E&O claims, ensuring timely and accurate reporting.
  • Maintain confidentiality in all aspects of client, staff, and agency information, upholding the highest standards of professionalism.
  • Perform other duties and projects as assigned, demonstrating flexibility and adaptability.
Requirements
  • College degree preferred, high school diploma or equivalent required, demonstrating a strong foundation in education.
  • Experience and knowledge of Microsoft Office Programs, ensuring proficiency and efficiency.
  • Experience with Vertafore a plus, providing an added layer of expertise.
  • Works effectively and relates well with others, including superiors, colleagues, and individuals inside and outside the company, in a professional manner.
  • Demonstrated ability to communicate effectively, ensuring clear and concise communication.
  • High level of organizational ability with attention to detail, maintaining accuracy and efficiency.
